Job Summary
We are seeking a highly organized and detail-oriented Bookkeeper / Assistant to join our team on a part-time basis. This dual-role combines financial recordkeeping and administrative support. The successful candidate will be responsible for maintaining accurate financial records, processing payroll, managing accounts receivable and payable, and providing administrative/clerical support. The ideal candidate will have experience with Simply Accounting, strong organizational skills, and the ability to manage multiple priorities in a professional and confidential manner.
Responsibilities
- Maintain accurate financial records by recording daily transactions using Simply Accounting for multiple related companies
- Record fixed assets, prepaid expenses, shareholder activity, loans, and other balance sheet items
- Prepare and post recurring, accrual, and adjusting journal entries
- Investigate discrepancies and maintain well-organized supporting documentation
- Complete month-end bookkeeping, including job costing, reconciliations, closing procedures, and management reports
- Prepare year-end working papers and supporting schedules
- Identify and resolve bookkeeping issues prior to year-end file submission
- Collaborate with accountants to address year-end inquiries and post necessary adjustments
- Process payroll, maintain accurate payroll records and ensure timely and accurate payment to employees
- Prepare payroll remittances and related reconciliations
- Assist with T4s, T4As, ROEs, and year-end payroll requirements
- Prepare and file GST/HST returns
- Support WSIB and EHT filings, where applicable
- Track government filing and payment deadlines to ensure timely compliance
- Maintain organized financial and confidential filing systems both physically and digitally
- Assist with general office administration and support organizational activities as required such as filing, photocopying, and maintaining office supplies inventory
- Manage accounts receivable and accounts payable
- Perform account and bank reconciliations to verify transaction accuracy
Skills
- Proficiency in Simply Accounting and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong understanding of bookkeeping principles and full cycle bookkeeping and general ledger accounting, including accounts payable, receivable, and account reconciliation
- Experience with payroll processing and related compliance requirements
- Basic computer skills including proofreading, data entry, and familiarity with office equipment such as printers and scanners
- Exceptional organizational, time management, and multitasking abilities.
- Strong written and verbal communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Excellent attention to detail and accuracy.
- Ability to analyze financial data and generate meaningful reports.
- Self-motivated, proactive, and able to work independently.
- Experience in office management, clerical work, or administrative roles with attention to detail

- Bookkeeping: 2 years (required)
