Heartland Housing Foundation serves over 1000 households in Fort Saskatchewan & Strathcona County as a not-for-profit housing management body and the administrators for provincially funded rent supplement programs. We operate 12 properties, including affordable lodges, rent-geared-to-income seniors housing, and near market housing for all ages.

Position Overview
Join our team as an Operations Supervisor and play a key role in leading day-to-day operations across our portfolio. Reporting to the Assistant Manager of Operations, you will provide on-site operational leadership, supervise frontline staff, coordinate staffing and daily workflows, and monitor service standards to ensure efficient, consistent operations that align with organizational policies and expectations.
Working closely with the Assistant Manager of Operations, Chef, Senior Administrative Assistant, and other leaders, you will support service delivery, employee performance, and operational administration while helping maintain a positive and productive work environment. Responsibilities
Operational Support
- Support Daily Operations: Coordinate day-to-day operational and administrative activities to ensure the efficient functioning of assigned departments.
- Monitor Inventory and Resources: Track inventory levels, support ordering processes, and provide operational backup coverage as required.
- Coordinate Service Delivery: Collaborate with Housekeeping, Kitchen, Dining Services, Recreation, Maintenance, and other departments to support seamless operations.
- Monitor Operational Performance: Identify operational needs, trends, and opportunities for improvement, communicating recommendations to the Assistant Manager of Operations.
People and Scheduling Support
- Coordinate Staff Scheduling: Support the preparation and maintenance of staff schedules, including shift changes, vacation requests, and leave coverage.
- Support Staffing Needs: Coordinate shift coverage to maintain appropriate staffing levels and operational continuity.
- Provide Frontline Support: Serve as an operational resource for frontline employees by responding to routine questions and communicating important information.
- Promote Employee Engagement: Assist with employee engagement initiatives and support site-wide activities and events.
Recruitment and Onboarding Support
- Coordinate Recruitment: Support recruitment activities by posting positions, scheduling interviews, preparing interview materials, and participating in the hiring process.
- Facilitate Onboarding: Coordinate onboarding activities, orientation materials, and training schedules for new employees.
- Support New Hire Processes: Communicate with candidates and new hires regarding documentation, onboarding requirements, and next steps.
Interdepartmental Support
- Support Cross-Department Operations: Assist departments such as Central Services, Maintenance, and Health & Safety with operational requests and reporting.
- Coordinate Health and Safety Activities: Support inspections, quarterly safety tasks, audits, and follow-up actions to ensure compliance.
- Facilitate Communication: Coordinate requests and information between operational departments to ensure timely resolution and effective collaboration.
Supervision
- Provide Team Support: Offer day-to-day guidance, coaching, and work direction to support employee performance and operational success.
- Coordinate Workflow: Organize work assignments, support scheduling, and ensure operational priorities are met.
- Support Performance Management: Assist with employee documentation, performance management processes, and routine workplace concerns.
- Promote Communication: Serve as a liaison between frontline staff and the Assistant Manager of Operations by communicating organizational updates and employee feedback.
Other Duties
- Provide Operational Support: Assist with administrative and frontline operational tasks during peak periods, special projects, or staffing shortages.
- Support Site Operations: Coordinate deliveries, logistics, and other site-specific operational requirements to ensure efficient service delivery.
Health, Safety, and Environmental Stewardship
- Safety Compliance: Adhere to safety protocols and promote a culture of safety within the organization.
- Cleanliness and Hygiene: Maintain a clean and sanitary work area, adhering to health standards at all times.
Requirements
- Post-secondary education in Business Administration, or other related field is preferred; an equivalent combination of education and experience will be considered.
- Proficient knowledge of Microsoft Office is required.
- Experience working within the YARDI system or other property management software is an asset.
- First Aid/CPR certification is preferred.
- Three (3) years of progressive experience in operations, administration, customer service, property management, hospitality or food service environments, or a related setting.
- Demonstrated supervisory or team leadership responsibilities would be an asset/preferred.
Working Conditions
- Frequent and ongoing contact with staff, residents, families, contractors, etc.
- The requirement to be able to lift and carry packages/boxes of varying sizes and weights.
- May be required to work alone.
- Occasional exposure to unpleasant or abusive individuals.
- Occasional overtime and regular participation in an on-call rotation may be required
- Regular travel between assigned portfolio properties is required.
- Must be able to lift, push and pull equipment and supplies in accordance with the position’s Physical Demands Analysis document
