Note: This role requires travel between sites, with work locations varying depending on the day.
Team Lead (Dental) Responsibilities
The Team Lead works within the dental team and is responsible for organizing, monitoring, and supporting care delivery, coordination, and mentorship of their assigned team in compliance with WellFort policies and procedures. Working within the CHC model of care, the Team Lead facilitates the provision of safe, quality, client-centered health care services to the clients while also supporting the manager and program staff to ensure program objectives are met.
In collaboration with the program Manager the Team Lead is expected to oversee the efficient operation of WellFort’s dental clinics. The aim is to improve the overall performance of the program by coordinating and developing skills and resources with the goal of optimizing team performance, quality assurance and improvement.
ACCOUNTIBILITY
- The Team Lead will practice within the full scope of practice as outlined in, but not limited to, the following documents:
- Regulatory College if applicable
- WellFort CHS policies
- The Team Lead will maintain privacy and confidentiality in accordance with PHIPA and adhere to the policies and procedures of WellFort.
- The Team Lead reports to the Manager of the appropriate program
SPECIFIC RESPONSIBILITIES
- Assist in the day-to-day operations of the dental clinic
- Coordinating patient scheduling and maintain appointment calendars
- Process billing and insurance claims, ensuring accuracy and compliance with regulations
- Maintain patient records and update information as necessary
- Monitor inventory of dental supplies and place orders when needed
- Collaborate with dental staff to ensure efficient patient flow and optimal patient care
- Prepare and manage patient billing and payments
- Assist with treatment coordination and financial arrangement
- Assist in managing staff schedules and payroll
- Prepare reports on office finances, patient satisfaction, and operational efficiency
- Maintain a regular presence in the team to provide mentorship, coaching with staff, oversee referral volume, flow and timing of interventions and address any patient concerns in collaboration with the team and program Manager
- Works with team members and Management to ensure adequate staffing requirements are met and assists in the planning of appropriate schedules to best meet program goals
- Coordinate annual chart audits
- Identifies gaps in care and brings information and potential solutions to program Manager
- Assist in the development of protocols, tools, and procedures to provide optimal standardized care to patients
- Holds regular team meetings and huddles to keep team members appraised of Key Performance Indicators (KPI’s) and information necessary for excellent service delivery and team effectiveness
- In collaboration with the service delivery team, contributes to the delivery of the client’s care plan
- Partners across other service providers external to WellFort to coordinate and support integrated care
- Documents problems identified using a specified framework.
- Utilizes adult learning principles and established training materials to teach and enhance skill levels of service providers
- Meets with individual team members to build education and learning plans and provides input to annual PDP
- Demonstrates effective time management, planning and organization of day’s work activities and of team members
- Participates in staff planning and leads orientation of new staff and students
- Responsible for first line risk mitigation strategies in collaboration with the Managers ultimate accountability
- Supports the building of an integrated team across WellFort CHS
- Assists with pulling and supporting with data driven practices to ensure accurate data collection/documentation of activities and documentation of services
Advocacy, Community Development and Partnerships:
- Advocates for and with clients to reduce barriers to accessing health care and other services in the health centre and the broader community
- Works with clients, especially those who traditionally experience barriers to access to ensure that they are treated with fairness and dignity
- Participates in the development and support of public policies and strategies that have a positive influence on the determinants of health
- Engages with the community to enhance its ability to function independently, to improve or protect the environment, and to support the development of healthy public policy and practice
- Participates in community projects or WellFort activities to provide education, information or to develop collaborative strategies
- In collaboration with the Manager and Senior Leadership ensures collaborative partnerships with key stakeholders of the program
Administration:
- Maintain clear, accurate, and timely written electronic documentation, requisitions, reports, and other information as required by the health centre, MOH, and other regulatory bodies
- Contribute to policy/protocol development, in relation to health care service delivery and/or professional practice
- Maintain an up-to-date knowledge of government guidelines, acts and legislation affecting client care
- Makes purchases within allocated budget lines and follows protocol for ordering, tracking, and paying for supplies.
- Responsible for monitoring and reporting of all key data elements as per funder requirements
- Provides back up to the Manager as required
Professional Development:
- Join relevant professional groups to maintain professional linkages and support
- Participate in Quality Improvement Programs, chart audits and peer audit process as required
- Participate in ongoing clinical supervision as per WellFort’s policy
- Maintains and develops current professional competency through professional development by ongoing learning, medical education, experience, and reflective practice

- Other duties and responsibilities as may be assigned from time to time
- Provide care delivery at any of the office sites as program needs dictate
- Consistent access to a vehicle for responsive care delivery at any care delivery location

- Participates in the overall activities of the health centre in-service training, committees, special events, and shared staff responsibilities

QUALIFICATIONS
- Diploma, degree or certificate in health-related field from a recognized community college or university an asset
- One to three years experience in a community dental clinic or community health centre
- Working knowledge of Abeldent software and databases
- Demonstrated experience and knowledge of dental software programs and Microsoft Office
- Experience in leadership (formal or informal) within a CHC program is an asset
- Team Lead or supervisory experienced preferred
- Coaching, mentoring and conflict resolution skills an asset
- Experience working with communities and individuals who face barriers accessing tradition health care institutions such as poverty, discrimination, mental health, and substance use issues
- Program planning, project management and change management considered an asset
- An understanding of and critical analysis of the determinants of health and social factors, such as power dynamics that affect individual, organizational and community health
- Strong communication, management, and organizational skills to work with Management and front-line healthcare staff to identify/prioritize business needs
- Excellent written communication and oral skills that meet the needs of the individual and/or community at the appropriate literacy level.
- Demonstrated ability to develop and maintain collaborative working relationships, build credibility, consult, build consensus, coach, and resolve conflicts
- Experience working with confidential and time sensitive documents and information
- Excellent interpersonal skills and the ability to multitask in a fast-paced environment
- Experience working in a value based non-profit or social services organization
- Demonstrated ability to work independently and interdependently in an interdisciplinary team environment in which the skills and responsibilities of each team member are recognized and respected
- Demonstrated proficiency in use of computers and various computer software applications
- Ability to speak languages relevant to the residents of the organization’s community is an asset
