Job Description: Site Coordinator & Finishing Carpenter Assistant

Role Overview
We are looking for a reliable, detail-oriented Site Coordinator & Project Assistant to serve as the primary on-site point person for our staging and renovation projects. This role is a hybrid of project supervision, logistics coordination, and hands-on "handy-person" support. You will be the bridge between the staging and design office and the physical job site, ensuring that every project is executed to our high standards, on time, and within scope.
Key Responsibilities
1. Site Overview & Coordination
- Liaise with the Project Coordinator, assist in schedule preparation
- Manage site protection, meet and oversee demolition and garbage removal.
- Serve as the primary on-site contact for trades, contractors, and delivery personnel.
- Conduct site walkthroughs to ensure quality control and adherence to design specifications.
- Identify potential site issues or delays and proactively suggest solutions
2. Staging & Design Support
- Assist with the installation and de-staging of furniture, decor, and art.
- Coordinate the logistics of moving inventory between the warehouse and client sites.
- Ensure all staging materials are handled with care and returned to inventory in excellent condition.
3. Hands-on "Handy" Tasks
- Perform minor on-site repairs and touch-ups (e.g., hanging artwork, changing light fixtures, patching small holes, or minor paint touch-ups).
- Manage site cleanliness and organization to ensure a professional environment for clients and trades.
- Assemble furniture or equipment as required for design or staging setups.
4. Logistics & Documentation
- Receive and inspect on-site deliveries (furniture, materials, fixtures) for damage or discrepancies.
- Maintain digital logs of site photos, receipts, and progress reports using our project management tool Job Tread.
- Run project-related errands, such as picking up materials or hardware. Tracks all receipts within each job/project
Technical & Maintenance Requirements
- The Finishing Touch" – Technical Scope The successful candidate will be responsible for the final 5% of the project that defines the quality of our brand.
- This includes:
- Art & Mirror Installation: Expertly hanging heavy mirrors, multi-piece galleries, and oversized art using appropriate anchors (toggle bolts, cleats, etc.) to ensure safety and precision leveling.
- Minor Surface Restoration: Performing high-level "invisible" touch-ups, including filling nail holes, caulking baseboards, and color-matching paint on scuffed walls or trim.
- Fixture Swaps: Swapping out "jewelry" for the home, such as cabinet hardware, doorknobs, and basic light fixtures or plate covers (non-electrical license required).
- Furniture Care & Assembly: Rescuing pieces by tightening loose legs, repairing minor wood scratches with wax/markers, and assembling complex flat-pack furniture quickly and accurately.
- Window Treatment Install: Mounting curtain rods, blinds, or temporary staging shades with perfect alignment.
- Cleanup: Proficiency with shop-vacs and detail-cleaning tools to leave the site "white-glove" ready.
- Communication: Strong interpersonal skills; able to give clear direction to trades and communicate effectively with the design team.
- Organization: Exceptional time-management skills and the ability to juggle multiple site locations across the Lower Mainland.
- Physical Requirements: Must be able to lift and move furniture or equipment (up to 50 lbs) and be on your feet for extended periods.
- Transportation: Valid BC Driver’s License and access to a reliable vehicle for travel between sites in Vancouver, Langley, and surrounding areas.
Physical & Problem-Solving Capabilities
- Spatial Reasoning: Ability to look at a design sketch and translate it to the physical wall with exact proportions.
- Creative Troubleshooting: Finding on-the-fly solutions for uneven floors, crooked walls, or missing hardware without delaying the project.
- Stamina: Capable of repetitive tasks such as hanging 20+ pieces of art in a single afternoon or moving staging inventory in and out of tight Vancouver floor plans
Recommended Software Knowledge
- Familiarity with project management platforms (e.g., JobTread) for logging daily updates and tracking expenses.
- Basic proficiency in digital communication and photo documentation tools.
Pay: $28.00-$32.00 per hour
Education:
- AEC / DEP or Skilled Trade Certificate (preferred)
