Position Overview
The Clinic Manager is responsible for overseeing the daily operations, growth, and performance of a multidisciplinary healthcare clinic. This role supports practitioners, administrative staff, patients, and ownership while ensuring the clinic operates efficiently, delivers an excellent patient experience, and achieves business objectives.
The Clinic Manager serves as the primary point of contact for operational matters and works closely with ownership to implement strategic initiatives, support clinic growth, and improve financial performance.
Key Responsibilities
Clinic Operations
- Oversee the day-to-day operations of the clinic.
- Ensure efficient scheduling, patient flow, room utilization, and practitioner support.
- Address operational issues and resolve day-to-day challenges.
- Develop and improve operational procedures, workflows, and clinic systems.
- Monitor clinic performance and identify opportunities for improvement.
Practitioner Relations & Support
- Serve as the main operational contact for practitioners.
- Support onboarding and integration of new practitioners.
- Assist practitioners with scheduling, administrative support, and operational concerns.
- Monitor practitioner utilization and identify opportunities to improve schedules and clinic performance.
- Facilitate communication between practitioners, front desk staff, and ownership.
Human Resources
- Recruit practitioners and administrative staff.
- Conduct onboarding and training for new team members.
- Support employee relations, performance management, and workplace concerns.
- Coordinate staff meetings and team-building initiatives.
- Ensure policies and procedures are followed consistently.
Patient Experience
- Handle patient concerns, complaints, and escalated situations.
- Implement initiatives to improve patient satisfaction and retention.
- Support front desk staff in delivering exceptional customer service.
- Monitor patient feedback and recommend improvements.
Business Development & Growth
- Identify opportunities to grow clinic services and practitioner capacity.
- Develop and maintain community partnerships and referral relationships.
- Assist with new service launches and growth initiatives.
- Support ownership in evaluating business opportunities and strategic projects.
- Participate in networking and community outreach activities.
Marketing Oversight
- Coordinate marketing activities with external agencies and vendors.
- Monitor marketing performance and lead generation results.
- Assist with promotions, workshops, events, and community engagement initiatives.
- Ensure marketing efforts align with clinic goals and practitioner needs.
Financial & Reporting Responsibilities
- Review clinic reports, practitioner utilization, scheduling trends, and key performance indicators.
- Monitor operational expenses and support budgeting processes.
- Assist ownership with forecasting and business planning.
- Track performance of growth initiatives and operational projects.
Administrative Responsibilities
- Oversee clinic software systems, operational processes, and vendor relationships.
- Support payroll administration and practitioner invoicing processes.
- Maintain operational documentation, policies, and procedures.
- Ensure compliance with clinic standards and applicable regulations.
Qualifications
- Experience managing healthcare, wellness, or multidisciplinary clinic operations.
- Strong leadership and people management skills.
- Experience with recruitment, onboarding, and team development.
- Strong organizational and problem-solving abilities.
- Ability to analyze reports, identify trends, and implement solutions.
- Experience in business development, patient experience, or clinic growth is considered an asset.
- Excellent communication and relationship-building skills.
Pay: $30.00-$35.00 per hour
