Job Summary
Seeking an experienced HVAC Estimator to join our growing team. This position is responsible for preparing accurate, professional, and profitable estimates for residential HVAC projects, including new construction, retrofit, and replacement work.
The successful candidate will work closely with homeowners, builders, suppliers, and our internal team to ensure projects are accurately scoped, clearly communicated, and prepared for successful installation. This position may be performed remotely; however, candidates who prefer a hybrid role may conduct site visits to verify project scope, meet with clients, and support estimating accuracy when required.

Key Responsibilities
Estimating & Quoting
- Prepare accurate estimates for residential HVAC replacement, retrofit, and new construction projects.
- Review plans, specifications, photos, and customer information to determine project scope.
- Select appropriate HVAC equipment and accessories based on application and performance requirements.
- Prepare detailed quote packages including inclusions, exclusions, assumptions, lead times, and optional upgrades.
- Develop Good / Better / Best proposal options when appropriate.
- Maintain company pricing standards and target profit margins.
- Respond promptly to estimate revisions and customer inquiries.
Client & Team Collaboration
- Serve as the primary point of contact for clients during the estimating process.
- Consult with homeowners, builders, and contractors to understand project goals and recommend appropriate HVAC solutions.
- Explain equipment options, system features, energy efficiency benefits, and pricing to help clients make informed decisions.
- Collaborate with project managers, office staff, installers, and service technicians to ensure estimates accurately reflect project requirements.
- Communicate changes in project scope and update estimates as required.
Site Assessments
- Conduct site visits as needed to verify measurements, equipment locations, existing conditions, ductwork, venting, access, and installation requirements.
- Meet with clients on-site to discuss project options and answer technical or product-related questions.
- Document site conditions with notes and photographs to support accurate estimating.
- Travel to project sites when necessary to reduce estimating errors and improve project planning.
Job Planning & Coordination
- Convert approved estimates into complete job packages for scheduling.
- Ensure work orders contain accurate equipment lists, scope of work, installation notes, and special instructions.
- Coordinate with the office team regarding scheduling, deposits, and project readiness.
- Identify required materials early to assist with purchasing and inventory planning.
- Ensure installation teams receive complete and organized project documentation.
Supplier Coordination
- Communicate with Lennox and other manufacturers regarding equipment selection, pricing, availability, and lead times.
- Stay current on product updates, rebates, warranty requirements, and manufacturer programs.
- Assist with equipment registrations and required documentation as needed.
Systems & Continuous Improvement
- Utilize ServiceBox and company estimating software efficiently.
- Maintain organized digital customer files, quote revisions, and project documentation.
- Develop and improve estimating templates and standardized proposal packages.
- Recommend process improvements that increase estimating accuracy, efficiency, and profitability.
Qualifications
- G2 Gas Technician Licence preferred
- Minimum three years of HVAC estimating experience.
- Strong knowledge of residential HVAC systems including furnaces, air conditioners, heat pumps, IAQ products, controls, and ductwork.
- Experience interpreting building plans and specifications.
- Excellent customer service and communication skills with the ability to explain technical information in a clear, professional manner.
- Proficiency with Microsoft Office, estimating software, and cloud-based applications.
- Strong organizational and time management skills.
- Ability to work independently while collaborating effectively with office and field staff.
- Valid Ontario driver's licence and willingness to travel to project sites when required
Pay: $28.00-$40.00 per hour
