Executive Assistant – Full-Time In Person
Primary Location: Bracebridge, ON
Position Summary
The Cottage Country Family Health Team (CCFHT) is seeking a highly organized and professional Executive Assistant to support the Executive Director and the Board of Directors. This role is responsible for executive administration, board governance support, human resources administration, operational coordination, and corporate communications. The successful candidate will exercise sound judgment, maintain strict confidentiality, and thrive in a fast-paced healthcare environment.
Key Responsibilities
- Provide executive administrative support to the Executive Director.
- Coordinate Board and committee meetings, including agendas, minutes, policies, bylaws, and governance records.
- Assist with human resources functions including recruitment, onboarding, employee records, and benefits administration. Experience with HOOPP is an asset.
- Support Ministry reporting, Quality Improvement Plans, Annual Operating Plans, and organizational projects.
- Organize staff meetings, mandatory education, and internal communications.
- Assist with day-to-day operational coordination, scheduling, and service continuity.
- Maintain corporate records, filing systems, and databases.
- Support procurement, office inventory, website updates, EMR communications, and administrative systems.
- Participate in organizational committees including Joint Health & Safety, Quality Improvement, and Privacy.
- Ensure compliance with organizational policies, PHIPA, Occupational Health & Safety legislation, and other applicable legislation.
- Perform other duties as assigned by the Executive Director.
Qualifications
- Post-secondary education in Business or Office Administration (or equivalent) preferred.
- Minimum five years of administrative experience, preferably in healthcare.
- Human Resources experience, including recruitment, onboarding, employee benefits, and HR administration.
- Experience supporting senior leadership and Boards of Directors.
- Knowledge of Microsoft Office, Teams, Zoom, email, and electronic records management.
- Experience with EMRs (Telus PS Suite preferred) is an asset.
- Excellent organizational, communication, and interpersonal skills.
- Ability to manage multiple priorities while maintaining a high degree of accuracy and confidentiality.
- Knowledge of Employment Standards, Occupational Health & Safety, PHIPA, and the Family Health Team model is an asset.
- Police Record Check with Vulnerable Sector Screening required.
Compensation
Salary starting at $60,000, commensurate with experience, plus a comprehensive benefits package and participation in the Healthcare of Ontario Pension Plan (HOOPP).
