The Professional Conduct Assistant will report to the Manager, Investigations. This role will provide all encompassing administrative support to the Reports and Investigations process within the Professional Conduct department of CRPO.
The ideal candidate has professional conduct experience in a professional setting, regulatory, academic, or otherwise. Knowledge of the Regulated Health Professions Act, 1991 (RHPA) and regulatory systems would be considered an asset.
The candidate must have excellent interpersonal & technical skills, who interacts effectively with members of the public, staff, Council and committee members, and College registrants, among others. Professionalism, maturity, tact, flexibility, initiative and a willingness to undertake unfamiliar tasks occasionally are required. Major Duties/Responsibilities:
- Supports Professional Conduct Coordinators with processing Reports and preparing disclosures.
- Supports Investigators with compiling investigation reports for disclosure .
- Assists with note taking during interviews and preparation of witness statements.
- Assists with preparing correspondences, cover letters, and redactions to be disclosed to registrants.
- Assists with processing formal appointments.
- Assists with infrastructure for new files, risk assessments, and informal letters.
- Assists with maintaining accurate internal file documents for Report and Investigation files.
- Assists with compiling and distributing panel packages for review.
- Assists with the intake of phone calls and e-mails.
- Provides administrative support to the Inquiries, Complaints, and Reports Committee (ICRC), as needed.
- Assists with scheduling and coordinating meetings as well as recording meeting minutes.
- Assists with meeting agenda planning.
- Liaises with Decision Writers and Compliance Department regarding post-meeting requirements.
Requirements:
- Post-secondary degree is required.
- 2+ years of relevant work experience.
- Direct experience working in health regulation preferred.
- Experience working in investigations in health regulation strongly preferred.
- Intermediate to advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint and Access) and Adobe Acrobat required.

- Detail-oriented. Handles sensitive and confidential issues using well-developed discretion, professionalism, and judgement.
- Confident verbal communicator and is comfortable discussing sensitive subject matters.
- Employs effective de-escalation techniques.
- Compassionate and trauma-informed when speaking with people who may be vulnerable and/or struggling with mental illness.
- Excellent professional writing style and skills.
- Manages and organizes a complex workload.
- Manages and organizes a complex workload. Able to work in a dynamic environment and can recognize shifts in priorities.
- Employs effective verbal and written communication skills with colleagues and other stakeholders, including committee members and the public. Able to recognize needs of a particular audience and modify communications to match those needs.
- Knowledge of the Regulated Health Professions Act, 1991 (RHPA).
- Investigative experience in a regulatory environment is an asset.
- Knowledge and experience applying relevant legislation is an asset.
- Experience in professional regulation preferred.
- Fluency in French considered an asset.
