Job Overview
We are seeking a highly organized and proactive Office Administrator to join our team. This role is essential in ensuring smooth daily operations, managing administrative tasks, and supporting various departments. The ideal candidate will possess strong communication and organizational skills, with experience in office management, bookkeeping. The Office Administrator will oversee front desk operations.
Responsibilities
- Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Managing Work Orders and permits
- Full cycle accounting - AP, AR, payroll & remittances, bank & credit card reconciliations, group benefits, RRSP/DPSP
- Handle bookkeeping tasks including invoicing and job costing
- Assist with onboarding, training & development, and maintaining employee records
- Manage vendor relationships and coordinate procurement of office supplies and services
- Financial reporting as needed
- Maintain an organized office environment through effective filing systems and space management
- Ensure compliance with company policies and assist in developing new procedures for operational efficiency
Qualifications
- Proven experience in office administration or related roles with strong clerical and organizational skills
- Proficiency in QuickBooks Desktop, and general office software (MS Office Suite)
- Experience with bookkeeping, payroll processing, vendor management
- Excellent communication skills with professional phone etiquette
- Strong organizational skills with attention to detail and the ability to multitask efficiently
- Prior office experience including front desk responsibilities is highly desirable
Job Type: Full-time
Pay: $25.00-$35.00 per hour
Expected hours: 40 per week
