Role Overview
The Case Processing collaboratively work with the team members and assist the manager to the end-to-end immigration case workflow for the firm. This role ensures all client applications are prepared accurately, submitted on time, and handled in accordance with IRCC/PNP regulations and company policies.
Key Responsibilities:
1. Case Management & Processing
· Prepare, review, and submission of all immigration applications (study permits, work permits, visitor visas, PR programs, PNP, Express Entry, family class, LMIA, etc.).
· Review client documents for accuracy, completeness, and compliance with IRCC and provincial program requirements.
· Conduct final quality control checks before submission.
· Maintain up-to-date knowledge of IRCC program changes and ensure the team updates workflows accordingly.
· Manage urgent or complex cases and troubleshoot issues with IRCC, employers, or clients.
2. Client Communication & Service Excellence
· Act as the escalation point for client questions, concerns, or high-priority cases.
· Ensure the team provides timely updates to clients throughout the application process.
· Participate in client meetings to clarify document requirements, timelines, and next steps.
· Maintain a professional and supportive relationship with clients at all touchpoints.
3. Compliance, Reporting & Documentation
· Ensure all files meet IRCC, PNP, and internal compliance standards.
· Maintain accurate case notes, document checklists, CRM records, and submission logs.
· Monitor processing timelines and report weekly on case status, bottlenecks, and team performance.
· Ensure secure handling of client data in accordance with privacy and confidentiality requirements.
· Support internal audits and quality assurance initiatives.
4. Process Improvement
· Identify opportunities to streamline case processing workflows and enhance efficiency.
· Develop and update SOPs, templates, checklists, and internal training materials.
· Collaborate with management to improve service delivery and client experience.
· Recommend tools or technology improvements (CRM, document management, case tracking).
5. Other Duties
· Participate in internal training sessions to learn immigration procedures, workflow operations, and the company’s latest policies.
· Assist in improving client service processes, FAQs, and communication templates.
· Support the preparation and execution of company events, workshops, or online seminars when needed.
Qualifications:
· Fluency in English — spoken and written.
· Must be legally eligible to work in Canada (Citizen, Permanent Resident, or valid Work Permit).
· Minimum 1-2 years of experience in immigration case processing or immigration consulting.
· Strong knowledge of IRCC, PNP, and employment-based immigration programs.
· Experience supervising or mentoring staff is preferred.
· Post-secondary education in business, immigration studies, or related field.
· RCIC license an asset but not required (depending on firm needs).
· Proficiency with CRM/case management software and MS Office/SharePoint/Teams.

· On-time submission rate of applications.
· Accuracy and completeness of files (reduction of IRCC return/refusal due to errors).
· Team productivity, quality, and adherence to deadlines.
· Client satisfaction and feedback metrics.
· Up-to-date, compliant documentation in CRM and case notes.
· Successful implementation of process improvements.
