About the Role
TNT – The New Trend is seeking a highly organized and detail-oriented Accounts Payable & Consignment Coordinator to join our team.
This role is responsible for supporting the day-to-day accounts payable function, reconciling consignment vendor activity, maintaining accurate financial and administrative records, and ensuring information is entered accurately and on time across our systems.
The ideal candidate is comfortable working with numbers and large amounts of data, has strong attention to detail, and enjoys maintaining organized and accurate records. Experience in retail, fashion, wholesale, or a consignment-based business is an asset.
Key ResponsibilitiesAccounts Payable
- Manage the day-to-day processing of vendor invoices and accounts payable documentation.
- Review invoices for accuracy, proper approvals, pricing, quantities, taxes, and supporting documentation.
- Enter invoices and other payable information accurately into the accounting system.
- Match invoices against purchase orders, receiving records, vendor statements, and other supporting documents.
- Prepare invoices and payments for approval according to company procedures.
- Maintain accurate vendor accounts and investigate discrepancies.
- Reconcile vendor statements against internal accounting records.
- Follow up internally and with vendors regarding missing invoices, credits, discrepancies, and outstanding balances.
- Track vendor credits, returns, deductions, and adjustments to ensure they are properly reflected in vendor accounts.
- Maintain organized digital and physical AP documentation.
- Assist with month-end accounts payable reconciliations and reporting.
Consignment Reconciliation
- Manage the administrative and accounting processes related to consignment vendors.
- Reconcile consignment inventory and sales activity against internal system records and vendor statements.
- Prepare periodic consignment sales reports and vendor reconciliations.
- Calculate amounts payable to consignment vendors based on agreed terms and actual sales.
- Review sales, returns, markdowns, discounts, inventory movements, and other adjustments affecting consignment settlements.
- Identify and investigate discrepancies between inventory, sales, vendor statements, and accounting records.
- Maintain detailed records of consignment inventory received, sold, returned, transferred, or adjusted.
- Communicate with buyers, inventory teams, stores, vendors, and accounting personnel to resolve consignment discrepancies.
- Ensure consignment payments and reporting are completed accurately and according to vendor agreements and reporting schedules.
Data Entry & Administration
- Perform high-volume data entry with a strong focus on accuracy and consistency.
- Enter and maintain vendor, invoice, payment, inventory, and accounting information across company systems.
- Maintain spreadsheets, reconciliations, schedules, and supporting documentation.
- Review data for errors, inconsistencies, duplicate entries, and missing information.
- Organize invoices, statements, vendor agreements, reports, and financial documentation.
- Assist with administrative tasks within the accounting and finance department.
- Prepare Excel reports and reconciliations as required.
- Assist with special projects, audits, year-end requests, and other accounting or administrative duties.
Qualifications
- 1–3+ years of experience in accounts payable, bookkeeping, accounting administration, finance administration, or a related role.
- Experience with accounts payable and account reconciliations is strongly preferred.
- Strong administrative and data-entry skills with exceptional attention to detail.
- Comfortable working with large volumes of invoices, transactions, and spreadsheet data.
- Strong Microsoft Excel skills, including sorting, filtering, formulas, lookups, and reconciliation of data.
- Ability to identify discrepancies and independently investigate differences.
- Strong organizational and time-management skills.
- Ability to manage multiple deadlines and recurring payment/reconciliation schedules.
- Strong written and verbal communication skills.
- Experience working with accounting, ERP, inventory management, or retail systems is an asset.
- Previous experience in fashion, retail, wholesale, inventory accounting, or consignment is considered a strong asset.
- Diploma or degree in Accounting, Finance, Business Administration, or a related field is an asset but not required for candidates with relevant experience.
