Ammolite Technology is a Managed IT Services Provider based in Alberta or British Columbia. We help organizations leverage technology to improve productivity, security, and business outcomes through managed IT services, cloud solutions, cybersecurity, and strategic consulting. As we continue to grow, we are seeking a highly organized and detail-oriented Finance & Operations Coordinator to join our team.
Position Overview
The Finance & Operations Coordinator plays a critical role in supporting the day-to-day financial and operational functions of Ammolite Technology.
Approximately 60% of the role will focus on finance-related responsibilities, including accounts receivable, accounts payable, financial administration, and coordination with external accounting partners. The remaining 40% of the role will support business operations, office administration, HR coordination, and light executive support activities.
This position offers a high degree of flexibility. We are open to structuring this role as either full-time or part-time for the right candidate. The role is primarily remote, with the majority of responsibilities performed from a home office. Occasional in-office attendance may be required for team meetings, collaboration sessions, onboarding, training, or other business needs.
Financial Operations - Approximately 60%
● Manage accounts receivable, invoicing, collections, and customer account reconciliations.
● Process accounts payable and coordinate vendor payments.
● Maintain accurate financial records and supporting documentation.
● Reconcile credit card statements and employee expenses.
● Coordinate with external accounting and bookkeeping partners.
● Assist with month-end and year-end financial processes.
● Monitor outstanding receivables and follow up with clients as required.
● Prepare financial summaries, reports, and supporting schedules for leadership.
● Support budgeting, forecasting, and cash flow management activities.
● Assist in maintaining financial controls and operational processes.
Operations & Administration - Approximately 30%
● Coordinate day-to-day office and administrative activities.
● Maintain company records, contracts, and documentation.
● Support employee onboarding and offboarding activities.
● Coordinate office vendors, supplies, and facilities requirements.
● Assist with internal process documentation and continuous improvement initiatives.
● Support company meetings, events, and administrative projects.
● Handle general office communications and operational requests.
HR & Executive Support - Approximately 10%
● Assist the HR Specialist with payroll coordination and benefits administration.
● Maintain employee records and HR documentation.
● Support employee communications related to payroll and benefits.
● Coordinate executive calendars, scheduling, and meeting logistics.
● Arrange travel, accommodations, and itineraries as required.
● Assist leadership with special projects and administrative tasks.
What We Are Looking For
● 3+ years of experience in accounting, bookkeeping, finance administration, business operations, office administration, or a related role.
● Hands-on experience with accounts receivable and accounts payable.
● Strong organizational skills with exceptional attention to detail.
● Proficiency with Microsoft 365 applications, particularly Outlook, Excel, Word, and Teams.
● Excellent written and verbal communication skills.
● Ability to handle confidential financial and employee information.
● Strong problem-solving abilities and a proactive approach to work.
Nice to Have
● Experience with QuickBooks Online or similar accounting platforms.
● Payroll or benefits administration experience.
● Previous experience supporting leadership teams.
● Experience working in a technology company, MSP, or professional services environment.
● Post-secondary education in Accounting, Business Administration, Finance, or a related field.
Compensation & Flexibility
