The Receptionist creates positive first impressions through exceptional customer service and efficient front desk operations. This role involves managing high-volume phone traffic, coordinating visitor management, providing comprehensive administrative support across multiple departments, and serving as a central communication hub in a fast-paced environment.
Key Responsibilities:
- Greeting and welcoming visitors, clients, and employees in a professional and friendly manner
- Manage the front desk and reception area, maintaining a clean and organized environment
- Answer, screen, and forward incoming calls using a multi-line phone system
- Handle general email inquiries and distribute to appropriate staff members
- Schedule and coordinate meetings, appointments, and conference rooms
- Receive and sort mail, packages, and deliveries
- Maintain visitor logs and issue visitor badges when required
- Process outgoing mail and coordinate courier services
- Assist with basic administrative tasks such as filing, photocopying, and scanning
- Supporting both Summit and G-Force Graphics in an administrative capacity
- Assist in the processing of customer payments
- Coordinating travel arrangements
- Order and maintain office supplies
Required Qualifications and Technical Skills:
- High school diploma or equivalent
- Previous reception or customer service experience preferred
- Excellent verbal and written communication skills
- Proficiency in G-Suite programs (Google Docs, Sheets)
- Strong organizational and multitasking abilities
