We are seeking an organized, dependable, and hands-on Purchasing and Shipping/Receiving Coordinator. This position is responsible for purchasing across the company, including chemicals, raw materials, laboratory supplies, equipment, spare parts, maintenance materials, office supplies, and external services.
The successful candidate will also manage day-to-day shipping and receiving activities, including the compliant handling and documentation of chemicals and other regulated materials. The position works closely with R&D, Manufacturing, Quality Assurance, Finance, Maintenance, and Project Management.
Key ResponsibilitiesPurchasing and Procurement
- Coordinate company-wide purchasing of chemicals, raw materials, laboratory consumables, equipment, spare parts, maintenance supplies, office supplies, and services.
- Review purchase requests for complete specifications, required approvals, quantities, delivery dates, and project or departmental coding before issuing orders.
- Obtain and compare supplier quotations based on technical suitability, quality, price, availability, lead time, shipping requirements, and payment terms.
- Prepare and issue purchase orders in accordance with approved requests and company procedures.
- Identify new suppliers and maintain effective working relationships with existing vendors.
- Negotiate pricing, payment terms, delivery schedules, and other commercial conditions when appropriate.
- Track open purchase orders and follow up proactively with suppliers to prevent project delays.
- For chemical purchases, verify the chemical name, CAS number, grade, concentration, package size, manufacturer, and applicable transportation requirements.
- Obtain and maintain required supplier documentation, including Safety Data Sheets, Certificates of Analysis, specifications, declarations, and quality documents.
- Ensure that chemicals and regulated materials are purchased and shipped under accurate names, CAS numbers, classifications, and documentation. Identify and refuse misleading product descriptions or substitutions intended to bypass transportation, customs, or regulatory requirements.
- Coordinate with Quality Assurance on supplier qualification, approved-supplier requirements, material documentation, and quality-related discrepancies.
- Coordinate with Finance to resolve invoice, pricing, quantity, tax, freight, and receiving discrepancies.
- Maintain complete and accurate purchasing records and support supplier performance reviews.
- Identify opportunities to reduce costs, consolidate orders, improve payment terms, and increase purchasing efficiency without compromising quality, compliance, or delivery.
Shipping and Receiving
- Receive, inspect, and document incoming chemicals, raw materials, equipment, and supplies.
- Verify incoming shipments against purchase orders, packing slips, labels, quantities, and required documentation.
- Identify damaged, incomplete, incorrect, or non-compliant shipments and coordinate prompt resolution with suppliers and internal stakeholders.
- Apply appropriate receiving status and ensure materials are directed to the correct quarantine, approved, controlled, or general storage location in accordance with company procedures.
- Notify internal requestors when materials arrive and arrange prompt delivery to the appropriate department or storage area.
- Coordinate outgoing domestic and international shipments, including customer samples, chemical products, equipment, and documents.
- Prepare accurate shipping documents, including commercial invoices, packing lists, labels, customs information, and courier or freight documentation.
- Ensure chemicals and regulated materials are classified, packaged, labelled, documented, and shipped in accordance with applicable transportation requirements.
- Coordinate shipments with couriers, freight forwarders, customs brokers, suppliers, and customers.
- Maintain accurate shipping, receiving, tracking, and proof-of-delivery records.
- Support appropriate storage, segregation, and handling of chemicals and temperature-sensitive materials.
- Assist with inventory counts and the identification of shortages, expired materials, damaged goods, and excess inventory.
Qualifications
- College diploma or post-secondary education in supply chain management, purchasing, logistics, business administration, science, or a related field.
- At least three years of relevant experience in purchasing, shipping, receiving, logistics, or supply chain coordination.
- Experience purchasing or handling chemicals, laboratory materials, pharmaceutical ingredients, or other regulated products is strongly preferred.
- Experience in a pharmaceutical, biotechnology, chemical, medical-device, scientific, or regulated manufacturing organization is an asset.
- Working knowledge of purchase orders, inventory records, shipping documents, commercial invoices, and customs documentation.
- Strong computer skills, including Microsoft Excel, Word, Outlook, and purchasing or ERP systems.
- TDG and WHMIS training or certification is preferred. Training may be provided to the successful candidate.
- Experience with dangerous goods shipments under IATA requirements is an asset.
