As our clinic evolves, we are modernizing our internal systems to maximize efficiency and support our dedicated team of 12 healthcare professionals. We are seeking a forward-thinking, tech-savvy Operations Manager to take complete ownership of our clinic’s administrative, financial, and human resources infrastructure, allowing our medical team to focus entirely on patient care.
The Role
This is not a traditional medical billing role. Our billing is fully outsourced, and our front-desk team handles basic invoicing. We are looking for a Leader and Systems Optimizer.
Your mission is to manage our people, streamline our overhead expenses, audit financial data, and meticulously eliminate operational inefficiencies by leveraging digital tools. Whether you have a deep background in healthcare administration or you are a seasoned manager from another fast-paced, customer-centric industry (such as corporate retail, hospitality, or professional services), if you know how to run an efficient business and manage a team, we want to hear from you.
Core Responsibilities:
- Human Resources & Onboarding: Act as the primary HR lead for our close-knit team of 12 employees. You will oversee recruitment, manage structured staff onboarding, handle scheduling, and foster a positive, accountable workplace culture.
- Payroll & Platform Oversight: Manage and approve end-to-end bi-weekly payroll. You will be responsible for overseeing our digital time-and-attendance tracking software platform, resolving variances, and ensuring total data integrity.
- Financial Oversight & Cost Reduction: Actively oversee and monitor clinic overhead expenses. We want someone who will analyze our operational spending, negotiate vendor contracts, and proactively identify creative ways to reduce costs and optimize our budget.
- Invoicing Supervision: Monitor and audit third-party invoicing and WSIB claims completed by our administrative staff to ensure seamless cash flow and accuracy.
- Technology & Efficiency Integration: Constantly evaluate our administrative workflows and implement digital solutions (apps, software, automation) to eliminate manual redundancies and modernize office management.
What We Are Looking For:
- Proven Leadership: 3+ years of experience managing a team of 5 or more employees (direct healthcare experience is an asset, but not essential).
- Tech-Fluent: You don't just use computers; you actively enjoy learning new software and leveraging technology to make workflows faster and easier.
- Business Acumen: Strong experience managing office overhead, analyzing budgets, and working with digital financial/payroll dashboards.
- Problem-Solver Mindset: You don't just spot problems; you bring three data-driven solutions to the table.
- Exemplary Communication: High emotional intelligence with the ability to manage staff dynamics firmly, fairly, and confidentially.
Pay: $28.44-$35.00 per hour
