Position Summary
The Order Management & Customer Support Specialist is responsible for processing sales transactions, coordinating customer orders, supporting sales activities, maintaining accurate records, and ensuring effective communication between customers and internal departments.
This position requires strong organizational skills, exceptional attention to detail, excellent communication abilities, and a commitment to providing outstanding customer service.
Key Responsibilities
Sales Order & Transaction Processing
· Process and enter customer sales orders, vendor purchase orders, order acknowledgments, and customer invoices
· Validate pricing, product details, quantities, and delivery requirements to ensure order accuracy
· Maintain and update customer accounts with accurate purchase information and delivery expectations
· Monitor order status and proactively communicate updates, delays, or issues to customers and internal stakeholders
· Ensure all transactions are processed accurately and efficiently
Cross-Functional Coordination
· Act as a liaison between sales, production, warehouse, shipping, and finance teams
· Communicate delays, discrepancies, inventory concerns, and customer issues promptly
· Work closely with suppliers and supply chain partners to support timely order fulfillment
· Coordinate with warehouse personnel regarding customer pickups and deliveries
· Participate in regular visits to the production floor to facilitate communication and workflow coordination
· Support shipping logistics and transportation arrangements as required
Customer & Sales Support
· Serve as a primary point of contact for customer inquiries and order-related questions
· Handle incoming calls and direct inquiries appropriately
· Communicate directly with customers regarding order status, shipments, and delivery schedules
· Create invoices and process customer credits
· Review invoicing and inventory accuracy
· Support delivery drivers with delivery-related inquiries
· Assist sales representatives with customer requests, order tracking, and administrative support
· Provide vacation coverage and support for sales team members as required
· Coordinate customer sample requests and sample tracking
Data Entry & Administration
· Enter and maintain customer, order, and inventory information using QuickBooks and internal systems
· Perform accurate inventory data entry and transaction updates
· Track purchase orders, customer orders, and sample requests
· Scan, organize, and maintain electronic and physical documentation
· Maintain organized filing systems and accurate records
· Support general office administration and equipment maintenance
· Ensure data integrity across multiple systems and platforms
Additional Responsibilities
· Assist with sample preparation and coordination for customers and sales representatives
· Support warehouse and logistics operations as needed
· Assist with special projects and continuous improvement initiatives
· Perform additional duties and responsibilities as assigned by management
Required Experience & Skills
· Minimum 3 years of experience in customer service, order management, sales support, administration, or a related role
· Strong data entry skills with exceptional attention to detail and accuracy
· Experience using QuickBooks or similar ERP/accounting software
· Proficiency with Microsoft Office applications, including Excel, Outlook, and Word
· Excellent verbal and written communication skills
· Strong organizational and time-management abilities
· Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment
· Professional, customer-focused attitude with strong interpersonal skills
· Ability to work independently while collaborating effectively within a team
Preferred Qualifications
· Experience in manufacturing, wholesale distribution, logistics, or supply chain environments
· Knowledge of inventory management processes
· Experience coordinating freight, deliveries, and shipping activities
· Familiarity with order fulfillment and warehouse operations

Pay: $22.00-$25.00 per hour
