Job Summary
The Accounting Clerk at Workspace48 Inc. supports the Finance and Administration team by maintaining accurate financial records and ensuring the smooth operation of financial processes. This role involves handling accounts payable and accounts receivable, supporting basic purchasing functions such as receiving against purchase orders, and assisting with general financial administration. The Accounting Clerk will work closely with internal teams, vendors, and customers to maintain financial integrity in alignment with Workspace48’s operational standards and values.
Key Responsibilities
Accounts Payable
- Review and process vendor invoices and purchase requisitions.
- Ensure all payables comply with company financial policies and procedures.
- Enter and code invoices accurately in the accounting system.
- Reconcile vendor accounts and address discrepancies in a timely manner.
- Maintain accurate accounts payable records and support general ledger entries.
Accounts Receivable
- Generate and distribute customer invoices; process payments and allocate funds.
- Monitor aging accounts, follow up on outstanding balances, and resolve discrepancies.
- Process credit card payments, refunds, and adjustments.
- Investigate and resolve customer billing inquiries.
- Prepare and record bank deposits.
General Accounting & Administration
- Maintain organized financial documentation and electronic filing systems.
- Support internal and external audits by providing required documentation.
- Perform other accounting or administrative tasks as required by the Controller.
Purchasing Support
- Receive goods and services against purchase orders and verify accuracy.
- Collaborate with the purchasing team to resolve discrepancies in receiving.
- Update the accounting system with received items and coordinate with finance for timely payments.
- Ensure accurate documentation of all receiving transactions.
Education & Experience Requirements
- Diploma or certificate in Office Administration, Business Administration, or Accounting.
- 2–5 years of experience in a similar accounting role.
- Experience with ERP accounting software preferred.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Knowledge of Generally Accepted Accounting Principles (GAAP).
