Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our General Manager. The ideal candidate will possess exceptional organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. This role is pivotal in ensuring the smooth operation of our office and supporting the executives in their daily activities.
This is a strictly in-office role.
Duties
- Manage calendars, schedule meetings, and coordinate appointments across multiple time zones.
- Prepare reports, presentations, and correspondence on behalf of the executive.
- Act as a liaison between the executive and internal/external stakeholders.
- Book travel arrangements including flights, accommodation, and transportation (both business and personal travel).
- Track action items, manage task lists, and ensure deadlines are met.
- Handle confidential information with discretion and professionalism.
- Assist with personal administrative tasks as needed (e.g., reservations, gift purchasing, household vendor coordination).
- Plan and coordinate company events and team-building activities, including logistics, budgeting, and vendor management.
- Assist with special projects and initiatives as needed.
- After-hours availability - occasionally.
- Occasionally drive to various locations in the Toronto and Vaughan area for business and personal errands.
Experience
- 3+ years of experience in an Executive Assistant or high-level administrative role.
- Exceptional organizational, time management, and multitasking skills.
- Proficient in Microsoft Office Suite, especially Excel.
- Strong written and verbal communication skills.
- Ability to work independently and exercise sound judgment.
- Professionalism, discretion, and a proactive approach to problem-solving.

Pay: $65,000.00-$75,000.00 per year
