Customer Service & Order Management CoordinatorAbout the Role
Kick Media Group is looking for a friendly, organized, and customer-focused Customer Service & Order Management Coordinator to join our growing team.
This role supports KickPrint, our print and production division, where we help businesses across Canada with everything from business cards and signage to apparel, promotional products, banners, labels, stickers, and custom printing.
You will be the first point of contact for many of our customers, assisting with inquiries, processing orders, coordinating production, and ensuring every project is completed accurately and on time.
In addition to a competitive base salary, this position includes commission and performance-based incentive opportunities, allowing you to increase your earnings by identifying new sales opportunities, upselling products and services, and delivering exceptional customer experiences.
No cold calling is required. Most customer inquiries and orders come through our website, ecommerce store, and custom online ordering portals, allowing you to focus on providing excellent customer service while identifying opportunities to grow existing customer relationships.
We are not necessarily looking for someone with print experience. We're looking for someone with outstanding customer service skills, strong organization, and the ability to thrive in a fast-paced environment. If you've worked in retail, hospitality, banking, telecommunications, or another customer-facing role, we'd love to hear from you.
This position is ideal for someone with retail or customer service experience who is looking to transition into a professional office environment while continuing to work closely with customers.
Key ResponsibilitiesCustomer Service & Sales Support
- Respond to customer inquiries by phone, email, website chat, and online orders.
- Provide friendly, professional, and timely customer service.
- Assist customers with product recommendations, pricing, artwork requirements, and order details.
- Prepare quotes and follow up on customer requests.
- Identify opportunities to recommend additional products and services that add value to the customer's order.
- Deliver an exceptional customer experience from start to finish.
Order Management
- Process customer orders accurately and efficiently.
- Coordinate orders with our internal production team and approved vendors.
- Monitor production schedules and ensure deadlines are met.
- Keep customers informed throughout the production process with order updates and shipping information.
- Coordinate pickups, deliveries, courier shipments, and tracking information.
- Ensure all order details are accurate before production begins.
Administrative Support
- Maintain accurate customer, quote, and order records.
- Update CRM and order management systems.
- Assist with inventory tracking and ordering supplies when required.
- Support day-to-day office operations and administrative tasks.
- Work closely with management to ensure smooth daily workflow and customer satisfaction.
Qualifications
- Minimum 2 years of customer service experience.
- Retail experience is strongly preferred.
- Excellent verbal and written English communication skills.
- Strong organizational and multitasking abilities.
- Comfortable using Microsoft Outlook, Excel, Word, and other computer software.
- Friendly, professional, and solution-oriented.
- Ability to work independently while managing multiple priorities.
- Experience with Shopify, QuickBooks, CRM software, or the print industry is considered an asset but is not required.
