Position Overview
The Lead Administrator is responsible for overseeing the daily operations of the front desk, ensuring an exceptional patient experience, and leading the administrative team to achieve performance goals. This role combines leadership, systems management, and hands-on administrative support
Key Responsibilities
Leadership & Team Management
- Lead, coach, and support the administrative team
- Conduct regular training
- Foster a positive, accountable, and high-performing team culture
Patient Experience
- Ensure every patient receives a warm, efficient, and professional experience
- Manage and resolve patient concerns or escalations
- Monitor patient flow and optimize scheduling efficiency
Operations & Systems
- Oversee appointment scheduling, recall systems, and patient communication
- Ensure accuracy of patient records and insurance information
- Maintain compliance with privacy regulations
- Develop and improve front office systems and SOPs
Financial & KPI Management
- Support accounts receivable management and insurance follow-ups
- Collaborate with management on growth strategies
Qualifications
Required
- Minimum 3–5 years of dental administration experience
- Previous leadership or supervisory experience
- Strong knowledge of dental insurance
- Experience with dental software (e.g. Curve Hero)
- Excellent communication and organizational skills
Preferred
- Familiarity with KPI tracking and reporting
