Position Summary
The Operations Coordinator is responsible for supporting the day-to-day administrative and operational functions of the organization. This role ensures office operations run efficiently, maintains strong vendor relationships, supports quality and production initiatives, and coordinates marketing and product documentation updates. The Operations Coordinator acts as a key liaison between office staff, production teams, vendors, and external partners to help ensure organizational objectives, customer expectations, and operational deadlines are consistently achieved.
Key Responsibilities
Responsibilities include, but are not limited to:
Office Operations & Administration
· Open and secure front office facilities daily, including pre-checking shop lock-up procedures.
· Ensure the office environment is organized, professional, and operating efficiently.
· Develop, implement, and maintain office procedures and administrative systems.
· Identify and support continuous improvement initiatives within office operations.
· Assist with employee scheduling, workload distribution, and coverage planning.
· Provide administrative support to ensure efficient workflow across departments.
Vendors & Supplier Management
· Review and approve all vendor invoices prior to accounts payable processing.
· Maintain strong vendor relationships and communicate effectively regarding timelines, and service concerns.
· Coordinate and expedite rush orders with vendors as required to support production and customer deadlines.
Quality Assurance & Product Support
· Review and approve sample doors prior to shipping to ensure quality and accuracy standards are met.
· Assist in maintaining product consistency and supporting quality assurance initiatives.
Marketing & Product Documentation
· Ensure product information, pricing, and marketing materials remain current and accurate.
· Coordinate with internal teams and external vendors on marketing and product documentation updates.
· Support the development and maintenance of product-related resources.
Operational Coordination
· Provide guidance and problem-solving support to office staff regarding orders, product specifications, and customer requirements.
· Work collaboratively with the office and production teams to ensure customer expectations and deadlines are met.
· Assist with special projects and operational initiatives as assigned.
· Support communication and coordination between departments to improve overall efficiency.
Qualifications & Experience
· Minimum 3–5 years of office administration, operations coordination, customer service, or a related role. Preferably in manufacturing, cabinetry, construction, or a related industry.
· Experience supporting administrative staff.
· Strong organizational and time management skills with the ability to manage multiple priorities.
· Excellent verbal and written communication skills.
· Strong attention to detail and problem-solving abilities.
· Ability to work independently while effectively collaborating with cross-functional teams.
· Proficient with Microsoft Office and business management software.
· Experience with ERP/order management systems considered an asset.

Pay: From $27.00 per hour
