Are you an experienced Dental Receptionist who enjoys building relationships with patients and keeping schedules full and organized? We are looking for a motivated, detail-oriented, and personable Dental Receptionist / Recall Coordinator to join our team. This role is essential in ensuring patients stay on track with their preventive care while helping maintain an efficient, productive schedule.
Key Responsibilities:
Recall Coordination
Take ownership of the practice's hygiene and continuing care recall system. Proactively contact patients who are due or overdue for appointments through phone calls, text messages, emails, and other communication methods to ensure they receive the care they need.
Patient Engagement
Build strong relationships with patients by providing friendly, professional service and educating them on the importance of regular dental visits. Help patients understand the value of preventive care and encourage them to maintain their recommended treatment schedule.
Schedule Optimization
Maintain a productive hygiene schedule by filling cancellations, minimizing gaps, and booking patients well in advance. Monitor upcoming schedules daily and actively work to maximize provider productivity while accommodating patient needs.
Appointment Confirmation
Ensure appointments are confirmed in a timely manner, follow up on missed appointments, and work diligently to reschedule cancellations and no-shows to maintain continuity of care.
Insurance & Administrative Support
Verify insurance benefits when required, update patient information, maintain accurate records, and assist patients with general administrative inquiries. Coordinate with the clinical team to ensure all necessary information is available before appointments.
Front Desk Excellence
Provide outstanding customer service by answering phones, greeting patients, checking patients in and out, processing payments, and ensuring a welcoming, professional front office environment.
Communication Pro
Communicate effectively with patients, dentists, hygienists, and team members. Excellent verbal and written communication skills are essential to build trust, encourage patient compliance, and support a positive patient experience.
Team Collaboration
Work closely with the clinical and administrative teams to achieve scheduling goals, improve patient retention, and contribute to the overall success of the practice.
Qualifications
- Minimum of 2 years of experience working in a dental office, preferably in a reception or recall coordination role
- Strong understanding of dental terminology, preventive care, and dental scheduling
- Experience managing recall systems and patient communications is considered a strong asset
- Fluent in English, both spoken and written
- Availability to work weekends and provide coverage for team members when required
- Excellent organizational skills with exceptional attention to detail
- Friendly, professional, and confident when communicating with patients
- Ability to multitask and perform well in a fast-paced environment
- Proficient in Microsoft Office, scanning/printing, and general computer applications
- Strong problem-solving skills and the ability to work independently
- Commitment to maintaining patient confidentiality and professionalism
- A positive team player with a strong work ethic and a desire to continuously learn and improve
Nice to Haves
- Experience with Dentrix, RecallMax, or similar dental software
- Previous dental office management experience
- Background in dental assisting or treatment coordination
- Experience with recall reports, unscheduled treatment reports, and schedule optimization strategies
