Your opportunity:
The Department of Mathematical & Computational Sciences is an academic department that includes mathematics, computer science, and applied statistics. The administrative team works collaboratively to meet the needs of faculty, students, sessional instructors, and teaching assistants.
Under the general supervision of the Assistant Manager, Operations and Finance, the incumbent is responsible for providing front-line service and administrative support to the department. As the Operations Assistant, you will be the first point of contact for general enquiries and in-person visitors. You will provide information to students, instructors, and teaching assistants, answering questions and making appropriate referrals. The Operations Assistant will be integral in supporting departmental communications, meetings, and events.
Your responsibilities will include:
Acting as the first point of contact for general enquiries
Coordinating tasks for projects and other strategic initiatives with stakeholders
Promoting departmental events and programs to students
Determining logistical details and activities for events and/or programming
Handling sensitive and/or confidential information
Verifying the accuracy and completeness of documents
Editing content for brochures, newsletters, websites and/or handbooks
Maintaining information on a website
Essential Qualifications:
Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
Minimum of three (3) years' related administrative support experience, preferably in a post-secondary environment
Experience serving as the first point of contact in a large and diverse environment responding to inquiries
Experience in maintaining and updating relevant information on websites and across social media.
Proficiency in the Microsoft Office suite as well as ability to adapt to and learn new technologies
Exceptional interpersonal and communication (written and verbal) skills, with a professional, client-first approach
Demonstrated experience with website management software, Drupal preferred.
Strong organizational and time management skills with the demonstrated ability to manage multiple projects simultaneously
Demonstrated initiative and flexibility to respond to changing priorities.
Demonstrated ability to exercise judgment, tact, diplomacy, and confidentiality.
Experience managing confidential documentation.
Assets (Nonessential):
Experience with room booking software, i.e. EMS etc.
