Junior Purchasing Administrator – Come Join Our Team!
Location: Olds, AB | Shift: Full-Time | Monday–Thursday |6:00am – 4:30pm
We are looking for a Junior Purchasing Administrator to join our team and play a key role in supporting and executing daily functions within the purchasing department. The position assists with procurement administration, supplier coordination, purchase order processing, and record maintenance to help ensure the timely and efficient flow of materials and services required to support business operations. This is an entry-level role ideal for individuals seeking to grow their career in purchasing and procurement operations.

What You’ll Do
- Create and process purchase orders for inventory, MRO items, services, and equipment.
- Assist with resolving supplier issues related to quality, delivery, and documentation. Follow up with vendors and maintain delivery schedules in Syspro.
- Create, review, and update open purchase orders and reports.
- Update and maintain information in quality control software.
- Ensure accurate data entry of part numbers, pricing, and supplier information.
- Coordinate delivery communications with the Receiving Department.
- Maintain supplier files, records, and documentation.
- Review supplier invoices for accuracy and completeness.
- File and organize receiving and purchasing documents.
- Submit supplier price changes for management approval.
- Coordinate local supplier pickups and communicate scheduling requirements.
- Work with Purchasing, Engineering, and Quality teams to verify part specifications.
- Support inventory and purchasing discrepancy investigations.
- Assist with supplier performance tracking and follow-up activities.
- Contribute to continuous improvement initiatives within the purchasing function.
- Maintain a positive, collaborative team environment.
- Perform other administrative duties and special projects as assigned.
What We’re Looking For
- High school diploma or equivalent.
- Administrative or data entry experience, preferably in manufacturing.
- Proficient in Microsoft 365; ERP/Syspro experience is an asset.
- Strong organizational, multitasking, and time-management skills.
- Knowledge of manufacturing processes is an asset.
- Positive team player with a willingness to learn.
- Self-motivated with strong problem-solving skills and attention to detail.
- Able to work safely and effectively with minimal supervision in a fast-paced environment.
- Strong interpersonal and communication skills.
- Able to prioritize competing tasks.
