Job Overview:
The Manager, Administration - Property Management, provides direction, supervision and training to a team of Property Administrators as well as operational support so that the Property Management division continues to maintain high client satisfaction, expand employee development, and grows the portfolio, while enhancing the bigger Company’s culture and services. This role will support FirstService Multifamily operations across British Columbia, Alberta, Ontario and future Canadian markets as the business continues to grow, helping to ensure consistent service delivery, operational excellence and scalable administrative practices. Travel between markets may be required to support business operations.
Responsibilities:
. Leadership & Team Management

Provide leadership, coaching and day-to-day supervision to the Property Administration team.
- Lead the onboarding, training, development and performance management of administrative associates.

Assign, prioritize and monitor workloads to ensure service standards and deadlines are consistently met.
- Conduct regular team meetings and foster a collaborative, high-performing, client-focused team culture.
Operational Support
-
Provide operational and administrative support to the Property Management team to ensure efficient service delivery.
- Act as the primary escalation point for complex administrative matters and coordinate solutions with internal stakeholders.
- Support departmental initiatives, new property onboarding and operational improvement projects.
- Perform administrative duties during periods of high workload or business need.

Support the development and implementation of standardized administrative processes and operational practices that can be adopted across multiple markets as the business continues to grow.
Process Improvement & Administration

Work closely with the leadership team to develop, implement and maintain Standard Operating Procedures (SOPs), administrative guidelines and best practices.
- Design and maintain standardized templates, forms and correspondence to improve consistency and efficiency.
- Monitor and improve administrative workflows, processes and service levels.
- Ensure the integrity and organization of electronic and physical records and departmental filing systems.
Communication & Client Service

Oversee internal and external communications, including tenant correspondence, building notices and owner communications.
- Ensure shared inboxes and administrative requests are managed effectively and responded to in a timely manner.
- Promote a high standard of professionalism, accuracy and customer service across all administrative functions.
Business & Operational Support

Prepare reports, operational metrics and other documentation to support business planning and decision-making.
- Assist with proposal preparation, business development activities and implementation of operational initiatives.
- Support the implementation of new systems, technology enhancements and process improvements.
Additional Duties & Responsibilities

- Conduct business at all times with the highest standards of personal, professional and ethical conduct.
- Build strong working relationships across Operations, Accounting and other departments to support efficient service delivery.
- Ensure all policies, procedures and Standard Operating Procedures are consistently followed by the administration team.
- Ensure all safety precautions are followed while performing the work.
- Participate in meetings and workgroups to support operational planning, continuous improvement and organizational initiatives.
- Perform any range of special projects, tasks and other related duties as assigned.
Skills & Qualifications:

- Demonstrate exceptional written, verbal and interpersonal communication skills.
- Have strong problem-solving and decision-making abilities with sound judgment.
- Possess experience developing and improving administrative processes, workflows and Standard Operating Procedures (SOPs).
- Demonstrate proficiency with Microsoft Office and property management software (Yardi Voyager is an asset).
- Possess financial acumen, including budgeting, expense management and operational reporting.
- Have working knowledge of applicable legislation, including the Residential Tenancy Act and Residential Tenancy Branch procedures.

Compensation:
$70,000.00 - $80,000.00 per annum
