We are looking to hire a temporary full-time accounting and office administrator for a one-year contract, with the possibility of a 6-month extension.

We have very active Service, Retrofit and New Construction departments and your job is to assist us with all of that but from the accounting and office administrator side.
Responsibilities and Duties (included but not limited to):
Accounting Duties:
- Reconcile bank statements and credit card transactions to ensure accuracy and identify discrepancies
- Assist in the preparation of financial statements and reports
- Assist in the management of accounts payable and accounts receivable functions
- Assist with month-end and year-end accounting activities
- Review and process vendor and subcontractor invoices
- Verify invoices against purchase orders, contracts, and supporting documentation
- Track outstanding vendor invoices and payment due dates
- Prepare payments by EFT, cheque, or other approved payment methods
- Reconcile vendor statements and investigate discrepancies
- Follow up on outstanding receivables as required
- Apply customer payments accurately against invoices
- Assist management with cash-flow and receivables reporting
- Enter hourly and salary timecard data into QuickBooks Desktop Enterprise Solution
- Process payroll on a bi-weekly schedule
- Ensure accurate processing of sick pay, benefits, and vacation payouts
- Prepare and submit PD7A remittance
- Act as the subject matter expert for payroll, providing guidance and support to employees, managers, and other stakeholders to address payroll inquiries and provide direction as needed
HR duties:
- Process records of employment and T4’s
- Prepare and send termination paperwork to employees
- Maintain accurate employee records
- Filter and screen incoming resumes and applications against position requirements, flagging qualified candidates for the HR Advisor's review
- Conduct initial telephone prescreens with candidates to confirm availability, eligibility to work, salary expectations, and basic qualifications
- Schedule and coordinate interviews between candidates and hiring managers, including calendar invitations, room bookings, and candidate communications
- Prepare and sent out orientation packages and offer letters to successful candidates
- Draft routine HR correspondence, such as letters of employment, using approved templates
- Coordinate health care benefits through Open Circle Benefits
Other Miscellaneous Duties:
- Provide reception and front-desk coverage, including greeting visitors, answering the main office phone, receiving mail and deliveries, and coordinating couriers
- Manage office supply inventory and order consumables, including kitchen and coffee supplies
- Communicate company information to employees via email
Skills and Qualifications:
- 2-3 years experience in a similar role
- Previous experience working with QuickBooks Desktop Enterprise Solutions
- Proficient experience with Microsoft Office (Excel, Word, etc.)
- Ability to work independently and collaboratively within a team environment
- Strong mathematical, organizational, analytical, critical thinking, problem-solving, and decision-making skills
- Excellent organizational and time management skills, with the ability to meet deadlines
- Proficiency in the English language with strong verbal and written communication skills
- Integrity and a high level of discretion when handling sensitive financial information
Pay: Hourly wage offered based on experience.
