The Role
The Executive Assistant is the CEO’s right hand, managing time, communications, priorities, and operational coordination so the CEO can focus on the highest-value work.
This is a high-trust, high-discretion role for someone who is exceptionally organized, proactive, adaptable, and capable of anticipating needs before they are voiced. The ideal candidate operates with professionalism and sound judgment across business, board, client, and cross-border environments.
As Lux continues to grow, this role may expand into broader operational and leadership responsibilities for the right candidate.
Key Responsibilities
- Manage the CEO's calendar, scheduling, and daily priorities, protecting time and resolving conflicts proactively.
- Triage and manage incoming communications, drafting and responding on the CEO's behalf where appropriate.
- Coordinate meetings end to end, including agendas, materials, minutes, and follow-ups.
- Arrange complex travel, including cross-border itineraries across Canada, the US, and China.
- Support board and shareholder meetings, including scheduling, document preparation, and logistics.
- Prepare and manage bilingual correspondence and documents in English and Mandarin.
- Handle expenses, reconciliations, and coordination with Finance.
- Manage highly confidential information with complete discretion.
- Coordinate company events, including all-hands meetings and offsites.
- Act as a trusted liaison between the CEO and internal teams, partners, and external stakeholders.
- Coordinate with the IT Manager, Finance Manager, Operation Manager, Educational Manager and other related functional leads, setting priorities, supporting their development, and holding the team accountable to performance and service standards.
- Support the management of the end-to-end client lifecycle, including onboarding, engagement letters, milestone tracking, renewals, and offboarding.
- Coordinate consultant assignments, capacity planning, and scheduling to match client needs with the right expertise.
- Maintain the CRM and case management systems, ensuring data integrity, accurate records, and reliable reporting.
- Uphold service quality and delivery standards, monitoring SLAs and the overall premium client experience.
- Assist to oversee billing, invoicing, collections, and revenue tracking through the Finance Manager.
- Build and maintain dashboards and reporting on key metrics, including enrollment, retention, consultant utilization, and client satisfaction.
- Assist CEO to manage operational tools, vendors, and platform configurations.
- Support compliance and documentation, including the Master Services Agreement, engagement terms, and confidential family and student records.
- Identify and implement process improvements that increase efficiency without compromising service quality.
Qualifications
Required
- 2 or more years of administrative, coordination, executive support, or related experience.
- Candidates with strong organizational skills, initiative, maturity, and sound judgment are encouraged to apply, even without direct C-suite support experience.
- Exceptional adaptability, organization, independence, and the ability to manage competing priorities.
- Proven discretion handling confidential and sensitive matters.
- Proficiency with Google Workspace or Microsoft Office and modern scheduling and productivity tools.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to thrive in a fast-paced environment.
Preferred
- Bilingual in English and Mandarin.
- Experience in a founder-led, entrepreneurial, or high-growth environment.
- Experience supporting operations, client service, project coordination, or professional services teams.
- Ability to work effectively under pressure while maintaining professionalism and accuracy.
What We Offer
- Salary range of $38,000 to $45,000 CAD, commensurate with experience.
- Annual performance bonus of up to 10 percent under the Annual Bonus Policy.
