We have a lot of ideas for where we want to take our clinic, and we’re looking for a proactive, organized person who’s excited to grow with us and help bring them to life.
Seek Optimal Wellbeing is a growing, family-run integrative healthcare clinic owned by two naturopathic doctors. We’re building a clinic that goes beyond one-to-one care through health programs, community connection and an exceptional patient experience.
The Role
This is a unique combination of patient experience, front-of-house, administration and clinic operations, with room to grow into leadership.
You’ll:
- Be the warm, welcoming first point of contact for patients
- Manage phones, emails, bookings, billing and day-to-day administration
- Keep supplies and clinic operations organized and running smoothly
- Identify problems and opportunities and develop solutions
- Build systems, checklists and processes, including our Operations Manual
- Take projects such as workshops, patient programs and community events from idea to implementation
- Support social media, newsletters, marketing and community outreach
- Help improve communication and systems across the team
- As you grow, take on increasing responsibility for team leadership, staff training, practitioner onboarding and clinic operations
Who We’re Looking For
We’re less interested in whether you’ve worked in healthcare and more interested in how you think and what you’re capable of.
You are:
- Proactive, self-directed and highly organized
- A fast learner who becomes independent quickly
- A strong problem solver and implementer
- Detail-oriented without losing sight of the big picture
- Warm, genuinely kind and great with people
- Comfortable with accountability and difficult conversations
- Adaptable and able to manage competing priorities
- Excited about growing into leadership
Experience in project management, operations, hospitality, executive assistance, office/practice management, marketing or administration is highly relevant. Healthcare/clinic experience and familiarity with Jane App are assets, but neither is required.
Where This Role Can Go
This role is designed to grow with the right person.
As you demonstrate competency and independence, you’ll take on increasing responsibility for operations, systems, projects, team leadership, patient programs, marketing and community engagement.
Our long-term goal is for this position to develop into a Clinic Operations Manager role.
We don’t expect you to know everything on day one. We do expect you to be curious, capable, resourceful and excited to learn.
25–35 hours/week to start, with opportunities for increased hours and responsibility as you demonstrate competency and independence.
Compensation: $22–$27/hour, based on experience and demonstrated ability.
