Position Overview
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant & Project Coordinator to support our leadership team and help manage the day-to-day administrative and project coordination needs of the company.
This role is ideal for someone who enjoys a dynamic position that combines executive support, office administration, and project coordination. The successful candidate will play a key role in keeping our office operations efficient, supporting client communications, and helping projects move forward smoothly.
Key Responsibilities
Executive Support
- Manage calendars, schedule meetings, and coordinate appointments for company leadership.
- Prepare correspondence, reports, presentations, and meeting materials.
- Assist with email management and follow-up communications.
- Maintain organized digital and physical records.
Project Coordination
- Assist in tracking project timelines, milestones, and deliverables.
- Coordinate communication between clients, designers, suppliers, and construction crews.
- Help prepare project documentation, proposals, invoices, and change orders.
- Monitor project-related tasks and follow up to ensure deadlines are met.
- Support the team in maintaining accurate project records and updates.
Office Administration
- Manage day-to-day office operations and administrative processes.
- Handle incoming inquiries and provide professional client support.
- Maintain office supplies, records, and filing systems.
- Assist with bookkeeping support, invoicing, and data entry as needed.
- Support team members with administrative and operational tasks.
Qualifications
- Previous experience in an executive assistant, administrative assistant, office administrator, project coordinator, or similar role.
- Strong organizational and time-management skills with the ability to prioritize multiple tasks.
- Excellent written and verbal communication skills.
- Experience in landscaping, construction, or a project-based industry is considered an asset.
- Proficiency with Microsoft Office, Google Workspace, and/or project management software.
- Ability to work independently, take initiative, and maintain confidentiality.

Pay: $40,000.00-$50,000.00 per year
