Office Manager
Wexford Dental | Full-time, Permanent | $25–30/hour + Performance Bonus
The short version
We're looking for someone who is genuinely great with people to lead the day-to-day operations of one of our dental offices. Not a paperwork manager—a leader. Someone the team trusts, who can calm a tense morning, have a difficult conversation without it turning into a bad week, and keep a busy office running at a high level.
If you're the person your colleagues have always come to with problems, we want to talk to you.
About Us
We're a growing, family-founded group with a preventative-first clinical philosophy and a real investment in doing things properly—proper systems, proper training, and proper support for our teams.
We're at an exciting stage of growth, continuously improving our operations and building the infrastructure to scale while maintaining an exceptional patient and employee experience.
What You'll Actually Be Doing
You'll own the performance and culture of one busy dental office, working closely with your Office Lead and supporting your clinical and administrative teams to ensure the practice operates efficiently while delivering an outstanding patient experience.
The Office Lead will handle the day-to-day operational checklist—you'll focus on leading people, making decisions, and owning the results.
Leading the Team (The Biggest Part of This Job)
- Be the first point of contact for staff concerns, resolving issues early and professionally.
- Hold regular one-on-one check-ins with team members.
- Coach, mentor, and develop employees through ongoing feedback and performance conversations.
- Support hiring, onboarding, and employee development.
- Communicate changes clearly so the team understands both the "what" and the "why."
- Make difficult decisions confidently while maintaining trust and accountability.
Running the Office
- Oversee scheduling, provider utilization, and daily operational flow.
- Support and develop your Office Lead.
- Make operational decisions to ensure smooth day-to-day performance.
- Ensure patients receive a consistently exceptional experience.
Owning the Numbers
- Monitor collections, production, expenses, and overall office profitability.
- Review accounts receivable, payroll hours, and monthly reports.
- Analyze office scorecards and implement action plans to improve performance.
- Help achieve financial and operational goals.
Keeping Us Compliant
- Ensure compliance with IPAC standards and Company policies.
- Maintain HR documentation and support employee relations.
- Prepare for audits and promptly address any compliance gaps.
Who We're Looking ForEssential
- Experience leading and developing teams in dental, healthcare, retail, hospitality, or another customer-focused environment.
- Calm under pressure with the ability to navigate difficult conversations professionally.
- Strong organizational and problem-solving skills.
- Comfortable managing budgets, KPIs, and operational performance.
- A hands-on leader who enjoys being present with the team rather than behind a desk.
Great to Have
- Dental practice management experience.
- Experience using Curve Dental or similar practice management software.
- Knowledge of IPAC standards and Ontario employment requirements.
What we're honestly not looking for: someone who wants to sit in an office and process paperwork. This role lives on the floor with the team.
What We Offer
- $25–30/hour, based on experience, plus a performance bonus tied to office results.
- Full-time, permanent position with real ownership and decision-making authority.
- Extended health benefits.
- A leadership team that genuinely supports you—you'll have direct access to ownership and operational leadership.
- Career growth opportunities within a growing dental group.
- The opportunity to shape processes, improve systems, and make a meaningful impact.
Being Straight With You About This Role
This is a leadership position where people come first. Every day brings new challenges—staffing, patient concerns, operational priorities—and your ability to keep the team focused, supported, and accountable will determine your success.
If that sounds overwhelming, this probably isn't the right role for you. If it sounds like exactly the kind of leadership challenge you've been looking for, we'll give you the support and autonomy to succeed.
How to Apply
Send us your resume along with a short note (a few lines is plenty) telling us about a time you turned around a difficult team situation. That's the part we'll read first.
