Job Summary
Reporting to the Finance Coordinator, the Regional Programs Administration Support Person is responsible for the administrative and financial duties supporting all the Funded Programs at Gateway.
Responsibilities
- Ensure proper documentation is presented for client move ins and move outs re: payment to landlord
- Request, payment and tracking of last month’s rent for each program
- Maintain rent and subsidies spreadsheet
- Record revenue and subsidies, reconciliation to balance to Sage
- Ensure rent and subsidies are calculated accordingly and all changes are applied
- Set up monthly EFT’s in CAFT system for the landlords for the finance director to release the funds
- Complete monthly journal entries to match bank and invoices
- Set up cheque batch for landlords that were not captured in the monthly EFT run
- Issue additional payment required throughout month to include in monthly closing entries
- Reconcile all payments to the General Ledger
- Complete journal entries for any deferred revenue
- Reconcile invoices for funding agreements, damages, subsidies and program expenses
- Prepare invoice for damages for regional programs
- NRH Annual Reviews – distribute, follow up with supervisors at 30, 60, and 90 days, receive confirmation
- Demonstrate knowledge of housing principles, guidelines, and related housing

Requirements
- Degree or Diploma in either Accounting, Finance
- Minimum two years’ of experience in financial administration, accounting, bookkeeping
- Working in nonprofit an asset
- A valid G drivers’ license with a reliable vehicle and permission to carry rider attached with 2-million-dollar liability
- Applied knowledge of budgeting and accounting
- Strong skills in Excel, Word and Team
- Working knowledge of CRMS is an asset
- Analytical and problem-solving skills
- Excellent interpersonal skills, and oral and written communication skills
- Knowledge and demonstration of Gateways philosophies
- A well-defined sense of diplomacy, including solid negotiation, conflict resolution, and people management skills
- Strong morals and ethics, along with a commitment to staff and client privacy
- Demonstrated ability to function within and contribute to a fast-paced team environment
- Demonstrated commitment to ongoing professional education
- Ability to work under minimal supervision
- Bilingual would be an asset
