Position Overview:
Reporting to the Executive Director, the Human Resources Administrator provides comprehensive administrative and coordination support to ensure the efficient delivery of human resources operations at Street Haven. This role plays a key part in supporting recruitment, onboarding, employee lifecycle administration, HR systems maintenance, training coordination, and employee record management. The Human Resources Assistant works closely with the Human Resources Coordinator, Payroll, IT, and leadership to ensure accuracy, compliance, and a positive employee experience throughout the employment lifecycle.
Key Responsibilities
Talent Acquisition & Onboarding

Coordinate full-cycle recruitment activities, including job postings, applicant tracking, resume screening, interview scheduling, and candidate communications

Conduct employment reference checks and support candidate selection processes

Prepare and issue employment offer letters and employment agreements to successful candidates, ensuring accuracy and alignment with organizational standards

Coordinate new hire documentation and onboarding processes (IT, Payroll, etc.), ensuring timely completion of employment forms and compliance requirements.

Schedule and facilitate new employee orientations to support successful onboarding

Maintain recruitment records and applicant tracking systems to ensure accuracy and compliance

Coordinate employee setup, including IT access, equipment requests, security access, organizational systems, and onboarding logistics.
HR Administration, Employee Lifecycle & Operational Support

Maintain accurate and up-to-date employee records in HRIS, Excel, and electronic HR filing systems, including personal information, compensation changes, employment status updates, and performance review tracking

Prepare employment-related documentation, including employment verification letters and other HR correspondence

Support leave of absence administration, including documentation tracking, in coordination with the leadership teams

Maintaining and updating HR policies, employee data, procedures, and internal documentation, and support coordination of HR initiatives and projects, such as performance appraisal process, and compliance tracking

Provide comprehensive HR administrative and operational support across all Street Haven programs, departments, and leadership teams to ensure consistent, efficient, and high-quality HR service delivery.
HR Operations, Employee Relations & People Experience

Serve as a first point of contact for employee and management inquiries, providing guidance on HR policies, procedures, and workplace matters.

Support employee relations by assisting with employee matters, workplace concerns, investigations, accommodations, performance, attendance, and conflict resolution.

Coordinate employee engagement, wellness, recognition, and People & Culture initiatives that foster a positive and inclusive workplace.

Prepare HR reports, internal communications, documentation, and tracking tools to support HR operations and organizational initiatives.

Support the development, implementation, and continuous improvement of HR policies, procedures, programs, and organizational initiatives.

Promote compliance with employment legislation, collective agreements, organizational policies, and HR best practices while providing HR guidance and support to leadership.

Qualifications, Skills & Experience

Post-secondary education in Human Resources, Business Administration, or a related field, or an equivalent combination of education and experience.

Minimum 2-3 years of progressive Human Resources experience, preferably in a non-profit, healthcare, social services, or unionized environment.

Knowledge of Ontario employment legislation, HR best practices, and experience supporting recruitment, employee relations, and HR administration.

Proficiency in Microsoft Office Suite and Human Resource Information Systems (HRIS); experience with ADP Workforce Now is considered an asset.
