Client Relations & Business Development Coordinator
We are seeking a highly organized, polished, and proactive Client Relations & Business Development Coordinator to support the daily operations and growth of our firm.
This is a dynamic role that combines administration, client service, business development support, event coordination, and project execution. The successful candidate will help develop opportunities, assist in presenting ideas to prospective and existing clients, and then help organize and carry out the work required to bring those ideas to completion.
The position will initially be part-time, with the opportunity to progress to full-time employment based on performance and the needs of the firm.
Key Responsibilities
- Provide day-to-day administrative and operational support.
- Organize calendars, appointments, meetings, deadlines, and priorities.
- Communicate with clients regarding outstanding documents, appointments, deadlines, and general follow-ups.
- Coordinate assignments and follow up with remote employees to ensure work is completed accurately and on schedule.
- Assist with client relationship management and business development initiatives.
- Support the presentation of new ideas, services, and opportunities to prospective and existing clients.
- Help prepare for client meetings, including organizing materials, presentations, schedules, and follow-up items.
- Attend client meetings as required and assist with note-taking, coordination, and ensuring that important details and action items are not missed.
- Present a polished and professional image when attending meetings, events, or representing the firm.
- Assist with planning and coordinating client events, including lunches, brunches, networking events, presentations, and similar business-development activities.
- Coordinate event logistics, invitations, reservations, vendors, materials, and follow-up communication.
- Help turn approved ideas into action by organizing tasks, timelines, responsibilities, and required resources.
- Maintain organized client records, correspondence, and electronic files.
- Monitor emails, prepare correspondence, and prioritize incoming requests.
- Track outstanding client matters and provide regular status updates.
- Assist with document preparation, data entry, invoicing, and general administrative duties.
- Complete occasional local errands, deliveries, or document pickups as required.
- Maintain strict confidentiality regarding client, financial, and firm information.
Qualifications
- Previous experience in office administration, client services, business development, sales support, event planning, or a similar role.
- Experience in a sales-oriented or client-facing position is strongly preferred.
- Ability to communicate ideas confidently and help build positive relationships with prospective and existing clients.
- Experience coordinating business lunches, brunches, networking events, presentations, or similar functions is considered an asset.
- Strong organizational, project-management, and time-management skills.
- Excellent written and verbal communication skills.
- Professional, polished, and courteous when communicating with clients, employees, and business contacts.
- Strong attention to detail and the ability to identify and track important follow-up items.
- Ability to work independently, take initiative, and follow through on assigned tasks.
- Ability to manage multiple priorities and coordinate projects from initial idea through execution.
- Comfortable coordinating with remote employees and using virtual communication tools.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Must have reliable access to a vehicle.
- Experience working in an accounting, tax, legal, financial, or other professional-services firm is considered an asset.

The successful candidate must be comfortable attending client meetings, business functions, and professional events. They will be expected to dress appropriately for the setting, conduct themselves professionally, listen carefully, take accurate notes, and ensure that key details, commitments, and next steps are properly documented and followed up on.

The ideal candidate is polished, outgoing, detail-oriented, and comfortable working in both an administrative and client-facing capacity. They should be able to understand the objective behind an idea, help communicate its value to a client, and then assist with organizing and executing the necessary steps to make it happen.
The successful candidate will be proactive, reliable, resourceful, and comfortable following up persistently and professionally. They will help keep client matters, business-development initiatives, events, and internal responsibilities organized and moving forward.
Position Details
- Employment Type: Part-time initially, with the opportunity to progress to full-time
- Location: In-office in Oakville, Ontario
- Office Hours: Monday to Friday, 9:00 a.m. to 5:00 p.m.
- Part-Time Schedule: To be determined within regular office hours
- Compensation: Based on experience
- Benefits: Available upon successful completion of the preliminary employment period
