Job Summary
We are seeking a highly organized and proactive Office Administrator / Service Coordinator to join our team. This role is vital in ensuring smooth office operations, coordinating client services, and supporting team management. Duties
- Oversee front desk operations, including managing phone systems, email accounts, and greeting visitors professionally
- Coordinate service appointments, schedule client meetings, and ensure timely follow-up
- Manage bookkeeping tasks using MS Office software, including invoicing, billing, and expense tracking
- Handle payroll processing and human resources functions such as employee record keeping and onboarding
- Assist with team management, training, and development initiatives
- Maintain organized filing systems for documents, contracts, and vendor information
- Manage vendor relationships, including procurement and contract negotiations
- Assist with budgeting activities and monitor office supplies inventory to ensure operational efficiency
- Uphold professional phone etiquette and provide exceptional customer service to clients and vendors
- Support special projects related to office improvements or process enhancements
Qualifications
- Proven experience in office administration, clerical work, or related service coordinator roles with strong organizational skills
- Supervising experience is preferred; ability to manage team members effectively
- Proficiency in Microsoft Office for bookkeeping and payroll processing
- Excellent communication skills—both verbal and written—and professional phone etiquette
- Strong organizational skills with the ability to prioritize tasks efficiently
- Experience with front desk operations and multi-line phone systems
- Knowledge of human resources procedures, vendor management, and basic budgeting principles
- Ability to handle confidential information discreetly and maintain professionalism at all times
- Demonstrated ability to adapt to a fast-paced environment while maintaining attention to detail
- Prior experience with training & development initiatives is a plus
