O2 Mechanical is a Commercial and Residential HVAC/R company. Our office is located in Newmarket, and we are growing and looking for an Administrative Assistant to join our team.
Job Responsibilities:
- Ordering office supplies, managing inventory levels, and coordinating equipment maintenance to ensure a well-stocked and efficient workplace
- Data entry of all expenses, bills and payments
- Invoicing clients, depositing cheques, applying payments, assisting with work order entry
- Reconciling all financial accounts monthly
- Preparing reports and spreadsheets as needed
- Handling phone calls, emails and correspondence with customers and team members
- Dispatching and job scheduling
Requirements:
- Strong written and verbal communication to draft emails, prepare reports, and interact with clients and team members
- Organization and time management to work independently, handle multiple tasks, prioritize work, and meet deadlines
- Attention to detail for accurate data entry
- Customer service to assist clients and team members professionally and courteously
- Discretion and confidentiality when handling sensitive information, such as financial records or employee documents
- Strong computer skills specifically Microsoft Office (Word and Excel)
- Professional attitude and strong work ethic
- Experience in a office administration is an asset
