To continue to support our team, we are seeking a talented and driven Office Administrator- Project Administrator. This is a multifaceted position that touches on accounting, administrative support, payroll, and project support.
Responsibilities
- Manage and oversee daily office operations
- Maintain office supplies and equipment inventory
- Coordinate and schedule appointments and meetings
- Prepare and distribute correspondence, memos, and reports
- Responsible for bookkeeping tasks such as accounts payable, accounts receivable, and account reconciliation
- Utilize accounting software (Sage) to manage financial records
- Process payroll and ensure accurate and timely payment to employees
- Perform bank reconciliations and monitor cash flow
- Submit Government GST, Payroll, T4, Corporate Taxes remittances
- Process employee timecards and records of employment
- Process Contractor and Subcontractor lien holdbacks and progress claims (will provide training)
- Process WorkSafe BC remittances
- Maintain confidentiality of sensitive information
Qualifications
- At least 2 to 5 years’ experience with office and/or project administration as well as accounting functions within the construction or similar industry
- Proficiency with Sage for financial management
- Adept at creating and maintaining MS Excel spreadsheets and formulas
- Able to create, maintain, and edit writable PDF documents (currently using Bluebeam)
- Strong knowledge of accounts payable, accounts receivable, and account reconciliation processes
- Trustworthy and self-directed
- Excellent organizational and time management skills
- Attention to detail and accuracy in data entry, record keeping and digital file management
- Ability to handle multiple tasks and prioritize workload effectively
- Strong communication skills, both written and verbal
