About Us: Pickering Walk-in and Family Practice is a busy community medical clinic providing walk-in and comprehensive family practice services to patients in Pickering and the surrounding community.
We are looking for a motivated, organized, and tech-savvy Clinic Coordinator who is interested in developing their career in healthcare administration and progressing into a Clinic Manager role. The successful candidate will work closely with the Clinic Director and Family Physicians and will play an important role in the day-to-day operations of the clinic. This is an excellent opportunity for someone who wants hands-on experience in healthcare management, clinic operations, and medical office administration.

Position Overview: The Clinic Coordinator will support the smooth and efficient operation of the clinic while providing excellent patient service. The successful candidate should be comfortable working in a fast-paced healthcare environment and be willing to assist with medical office duties when required. This position is intended to provide a pathway toward increased responsibility and eventual transition into a Clinic Manager position for the right candidate.
Key Responsibilities:
- Coordinate and support the daily operations of the walk-in and family practice clinic.
- Work directly with the Clinic Director and Family Physicians to support clinic operations.
- Assist with scheduling, patient flow, physician schedules, and administrative coordination.
- Provide front-desk and Medical Office Assistant (MOA) support when required.
- Register patients, manage appointments, answer telephone calls, and respond to patient inquiries professionally.
- Maintain accurate and confidential patient information in accordance with privacy and healthcare regulations.
- Work with the clinic's EMR system and maintain accurate electronic records.
- Assist physicians and clinical staff with administrative requirements.
- Coordinate communication between physicians, staff, patients, and external healthcare providers as required.
- Assist with billing, documentation, forms, referrals, and other administrative processes.
- Monitor clinic workflow and identify opportunities to improve efficiency.
- Assist with staff coordination, scheduling, onboarding, and day-to-day operational needs.
- Help maintain clinic policies, procedures, and administrative standards.
- Support inventory and office supply management.
- Assist with quality improvement and implementation of new clinic processes.
- Handle multiple priorities effectively while maintaining attention to detail.
- Take on increasing leadership and management responsibilities as experience and competency develop.
What We Are Looking For
- Minimum healthcare management certification/degree OR relevant healthcare/medical office management experience.
- New graduates with relevant healthcare administration or management education are encouraged to apply.
- Previous experience in a medical clinic, family practice, walk-in clinic, or healthcare setting is an asset.
- Familiarity with EMR systems and electronic medical records.
- Strong computer and technology skills; comfortable learning new software and systems.
- Ability to work as a Medical Office Assistant when required.
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal skills.
- Professional, reliable, and patient-focused.
- Ability to work independently while also collaborating effectively with physicians and clinic staff.
