We are currently seeking a highly organized, detail-oriented, and proactive Scheduling & Operations Manager to join our growing management team.
Position Summary
The Scheduling & Operations Manager will be responsible for overseeing the day-to-day scheduling and staffing operations of our concierge security division. This position is heavily focused on workforce planning, scheduling, and ensuring all client sites remain fully staffed with qualified personnel.
The successful candidate must be able to work in a fast-paced environment, think quickly under pressure, and respond effectively to changing operational requirements, including emergency call-offs and last-minute staffing requests.
Key ResponsibilitiesScheduling & Workforce Management
- Create, manage, and maintain weekly schedules for all concierge security personnel.
- Ensure all scheduled shifts are filled with trained and qualified concierge guards who meet each property's operational requirements.
- Respond to emergency call-offs, last-minute cancellations, and urgent staffing requests.
- Fill open shifts quickly while maintaining service quality and client expectations.
- Set up new employees within the company's scheduling software and maintain accurate employee profiles.
- Update employee availability, site assignments, certifications, and scheduling information.
- Coordinate vacation requests, availability changes, and shift swaps.
- Monitor staffing levels across all properties to ensure adequate coverage.
- Manage overtime and labour costs while maintaining operational efficiency.
- Work closely with Operations Management to ensure client staffing requirements are consistently met.
Operations Support
- Maintain daily communication with Site Supervisors and concierge staff regarding scheduling and operational needs.
- Ensure employees are assigned only to sites where they have received the appropriate training.
- Coordinate employee onboarding by assigning new staff to training shifts and ensuring they are scheduled appropriately.
- Assist with employee attendance tracking and scheduling-related documentation.
- Maintain accurate scheduling records and staffing reports.
- Support the operations team with workforce planning during busy periods and special events.
Client Support
- Ensure client staffing requirements are consistently met.
- Respond promptly to staffing requests from Property Managers and Operations Management.
- Maintain a high level of professionalism while coordinating staffing changes that impact client sites.
- Work collaboratively with management to ensure service continuity across all properties.
Qualifications
- Minimum 2–3 years of scheduling or workforce coordination experience.
- Previous experience in the security, concierge, hospitality, or property management industry is considered an asset.
- Experience managing large employee schedules in a fast-paced environment.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize under pressure.
- Strong problem-solving and decision-making abilities.
- High attention to detail and accuracy.
- Proficiency with Microsoft Office (Excel, Outlook, Word).
- Experience using scheduling software is considered an asset.
