Position Purpose
Reporting to the Manager of Clinics, the Dental Administrative Support Worker provides administrative and operational support to the dental clinic to ensure the efficient delivery of patient care. This role is responsible for welcoming clients and volunteers, coordinating appointments, maintaining accurate records, supporting daily clinic operations, and assisting with instrument sterilization. The successful candidate will be organized, client-focused, and able to thrive in a fast-paced, team-oriented environment.
Major Responsibilities
- Welcome and greet clients, volunteers, and visitors in a warm, respectful, and professional manner.
- Register clients and assist with the check-in and check-out process.
- Schedule, confirm, and coordinate dental appointments, including reminder and follow-up calls.
- Communicate with clients regarding upcoming appointments, treatment plans, referrals, and follow-up care as directed.
- Maintain accurate and confidential client records, including updating demographic information, treatment history, and insurance details where applicable.
- Answer, screen, and direct incoming telephone calls and respond to general inquiries.
- Provide administrative support to the Dental Administrator, including filing, scanning, data entry, and maintaining clinic supplies.
- Assist with preparing and organizing clinic documentation and reports as required.
- Ensure reception and common areas remain clean, organized, and welcoming for clients, volunteers, and staff.
- Perform cleaning, packaging, and sterilization of dental instruments in accordance with infection prevention and control standards.
- Support clinic operations and assist with other administrative duties as assigned.
Other Requirements
Education
- High school diploma required.
- Completion of a Dental Receptionist program, Medical Office Administration program, or a related post-secondary diploma is preferred.
Experience
- Minimum of 1–2 years of experience in an administrative or dental office setting.
- Experience working in a community health, non-profit, or healthcare environment is considered an asset.
Qualifications
- Previous experience in a Dental Reception, Dental Administration, or Dental Assisting role is considered an asset.
- Knowledge of dental terminology, office procedures, and scheduling practices.
- Excellent organizational and time management skills with the ability to prioritize multiple tasks.
- Strong interpersonal, verbal, and written communication skills.
- Demonstrated ability to work collaboratively in a multidisciplinary team environment.
- Strong attention to detail and commitment to maintaining accurate records.
- Proficiency in Microsoft Office and experience with electronic medical or dental records is an asset.
- Ability to maintain confidentiality and provide compassionate, client-centred service.
Working Conditions
- Primarily dental office setting
- Must work to, sometimes strident, deadlines, manage and respond to competing priorities
- Must work with minimal supervision
- High Cognitive ability required
- Exposure to a sometimes challenging environment that has the potential for confrontation and/or exposure to violence
