Job Summary
We are seeking a highly organized and professional Office Manager to oversee daily office operations and ensure smooth administrative functioning. The ideal candidate will possess strong computer skills, excellent customer service abilities, and experience with office management systems. This role requires multitasking, attention to detail, and the ability to manage various clerical and administrative tasks efficiently. The Office Manager will serve as the first point of contact for clients and staff, maintaining a welcoming environment while supporting the overall productivity of the office.
Responsibilities
- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Oversee scheduling, appointment setting, and calendar management using Microsoft Office and Google Workspace tools
- Handle data entry, filing, and record keeping with accuracy and attention to detail
- Utilize QuickBooks for basic bookkeeping, invoicing, and financial record maintenance
- Provide exceptional customer service by addressing inquiries promptly and professionally
- Assist with administrative tasks such as proofreading documents, managing correspondence, and supporting staff with clerical needs
- Maintain organized filing systems both digitally and physically to ensure easy retrieval of information
- Support medical or dental office functions if applicable, including managing patient or client records in compliance with privacy regulations
- Coordinate with team members to ensure efficient workflow and communication across departments
Experience
- Previous office experience in administrative or clerical roles is preferred
- Familiarity with QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Docs, Sheets), and basic computer skills is essential
- Experience in customer service roles demonstrating excellent phone etiquette and organizational skills is highly desirable
- Knowledge of medical or dental office procedures such as front desk operations or dental receptionist duties is a plus
- Proven ability to handle multiple tasks simultaneously while maintaining accuracy and professionalism
- Strong typing skills along with proofreading abilities to ensure error-free documents are required
