About the Role
The Prince Edward Island College of Nursing and Midwifery is seeking a professional, detail-oriented Registration / Administrative Assistant to join our team. As the first point of contact for the public, applicants, registrants, and system partners, you will play a central role in supporting the College's registration and discipline processes while keeping the daily functions of the office running smoothly.
Reporting to the CEO and supporting College staff, this is an excellent opportunity for an organized administrative professional who thrives in a service-oriented, deadline-driven environment.
Key Responsibilities
Office Management
- Coordinate the efficiency of daily functions of the office environment.
- Assist registrants and applicants in navigating the website and member portal of the registration database.
- Book travel accommodations for College staff at the direction of the CEO.
- Contribute ideas and suggestions to improve office efficiency and effectiveness.
- Maintain inventory of office supplies and ensure maintenance of office equipment.
- Notify the CEO of any issues with the office environment and contact appropriate personnel as directed.
- Respond to inquiries from applicants, registrants, and members of the public by telephone, email, or in person, and direct and prioritize inquiries to other staff when required.
- Collect, open, and distribute mail; prepare and disburse outgoing mail.
Registration
- Respond to general inquiries about the application and registration processes.
- Review registration applications, ensure all necessary documents are collected, and follow up with registrants on outstanding requirements.
- Notify the Director of Registration Services when an application is ready for review.
- Prepare document requests of registrants, or former registrants, and send them to appropriate external organizations.
- Assist registrants with the registration renewal process as directed.
- Assist with the maintenance and management of applicant and member data as it relates to registration.
- Participate in updating registration applications and assist with Nursys.
- Assist in completing the Canadian Nurse Practitioner Licensing Exam and the Canadian Practical Nurse Registration Exam Nominal Roll with the Director of Registration.
Discipline Process
- Schedule meetings of the Investigation and Hearing Committees as directed by the Director of Conduct, ensuring timelines are adhered to. Support Investigation and Hearing Committees by booking meeting spaces and assisting with online meetings.
- Ensure all fines and cost-recovery payments are tracked and follow up if payments are missed.
- Maintain a list of all active discipline committees.
- Update discipline process templates as directed.
- Assist with the gathering of data and the creation of reports as directed.
Qualifications
- Administrative Certificate or completion of a program in professional office administration.
- 1–2 years administrative experience in a professional office setting.
- Experience working in a regulatory environment is considered an asset.

- Manual dexterity to operate a computer keyboard and standard office equipment.
- Ability to read, write, and speak English at a level equal to or greater than national standards.
Eligibility
Applicants must be legally entitled to work in Canada. Preference will be given to Canadian citizens and permanent residents of Canada.
Salary Range: $61,133 - $68,562 (Health Benefits and Group RRSP Plan)
