Position Overview
We are seeking a highly organized and detail-oriented Litigation Legal Assistant to join our team. The successful candidate will provide administrative and file management support to litigation lawyers, with a focus on civil litigation, collections matters, and employment law. This role is well suited to someone who is comfortable managing competing priorities, working independently, and supporting files in a professional, fast-paced legal environment.
Key Responsibilities
- Provide legal administrative support on litigation files, including opening, maintaining, organizing, and closing files.
- Prepare, draft, revise, and format correspondence, pleadings, court documents, demand letters, affidavits, briefs, and other litigation-related materials.
- Assist with collections matters, including preparing demand correspondence, tracking deadlines, organizing debtor information, and supporting enforcement or recovery steps as required.
- Support employment law matters, including organizing documentation, preparing correspondence, maintaining confidential records, and assisting with workplace-related litigation or advisory files.
- Manage calendars, diarize limitation dates and deadlines, schedule meetings, examinations, court appearances, and follow-up reminders.
- Communicate professionally with clients, opposing counsel, courts, process servers, and other external parties.
- Coordinate service and filing of documents, including electronic filing where applicable.
- Maintain accurate electronic and paper files, ensuring documents are saved, named, and organized in accordance with firm procedures.
- Assist with billing, time entry, cheque requisitions, trust-related requests, and other administrative tasks as required.
- Exercise discretion and maintain confidentiality in handling sensitive client, employment, and litigation-related information.
Qualifications and Experience
- Completion of a recognized Legal Assistant program, or an equivalent combination of education and experience.
- Previous litigation legal assistant experience is required; experience with collections and employment law matters is considered a strong asset.
- Strong knowledge of litigation procedures, court forms, filing requirements, and legal terminology.
- Excellent organizational skills with the ability to manage a high-volume practice and competing deadlines.
- Strong written and verbal communication skills, with careful attention to grammar, formatting, and accuracy.
- Proficiency with Microsoft Office and legal practice management or document management systems.
- Ability to work independently, take initiative, and exercise sound judgment.
- Professional, reliable, and client-service oriented, with a high degree of discretion and confidentiality.
