Overview
We are seeking a professional and organized Receptionist/Administrator to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting administrative functions. The ideal candidate will have strong office experience, excellent communication skills, and proficiency with various software tools including Microsoft Office, QuickBooks, Doc It, and Caseware. Prior experience in an accounting office is a plus. This position offers an engaging work environment where attention to detail and organizational skills are highly valued. Responsibilities
- Greet visitors and clients in a friendly and professional manner at the front desk
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Perform data entry tasks accurately using Microsoft Office and QuickBooks
- Maintain organized filing systems, both electronic and paper-based
- Support administrative tasks such as scheduling appointments, managing calendars, and handling correspondence
- Assist with bookkeeping duties, including invoicing and record keeping
- Ensure accurate proofreading of documents and communications before distribution
- Provide excellent customer support via phone, email, and in person
- Handle reception duties for a professional accounting office
- Support office staff with clerical tasks such as photocopying, filing, and document management
Requirements
- Proven clerical or administrative experience, preferably in a accounting office setting
- Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook) and QuickBooks
- Proficiency with Doc It & Caseware is desirable, not not necessary
- Excellent organizational skills with keen attention to detail
- Ability to handle multi-line phone systems with professional phone etiquette
- Experience with data entry, proofreading, and filing systems
- Strong customer service skills with a friendly demeanor
- Ability to manage multiple tasks efficiently in a fast-paced environment
- Prior experience with bookkeeping or sensitive information procedures is desirable
- High school diploma or equivalent required; additional administrative training is a plus
Pay: $20.00-$27.00 per hour
