Overview
We are seeking a professional and organized Receptionist/Administrator to join our team. This role is vital in ensuring smooth daily operations by managing front desk responsibilities, providing exceptional customer service, and supporting administrative functions. The ideal candidate will possess strong office skills, excellent communication abilities, and a friendly demeanor to create a welcoming environment for clients and staff alike.
Duties
- Greet visitors and clients with professionalism and courtesy at the front desk
- Answer multi-line phone systems promptly and efficiently, directing calls as needed
- Manage appointment scheduling and coordinate calendars for staff or practitioners
- Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other relevant software
- Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents
- Handle correspondence, including emails and written communication, with proper proofreading and attention to detail
- Support administrative tasks such as copying, scanning, faxing, and maintaining office supplies
- Provide exceptional customer support by addressing inquiries and resolving issues professionally
- Ensure the reception area remains tidy and welcoming at all times
Qualifications
- Proven experience in office administration or clerical roles, preferably in medical or dental offices
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry software
- Experience with QuickBooks or bookkeeping is a plus
- Excellent organizational skills with keen attention to detail and accuracy
- Exceptional phone etiquette and customer service skills to handle inquiries effectively
- Ability to multitask efficiently in a fast-paced environment while maintaining professionalism
- Prior experience with front desk operations, multi-line phone systems, filing, and administrative support preferred
- Strong typing skills with the ability to proofread documents thoroughly
- Knowledge of medical or dental office procedures is advantageous but not required
- Demonstrated ability to work independently as well as part of a team
Pay: $18.00-$22.00 per hour
