We have an exciting opportunity available for an experienced Medical Receptionist. The ideal candidate will have at least 2-3 years experience working in a multi-Physician practice. The candidate must have very strong communication skills (including medical terminology) and a desire to deliver quality patient care in a team setting. The candidate must be comfortable managing a busy telephone system, triaging and booking patient appointments, assisting patients at check-in and responding to EMR messages. Experience using Telus Practice Solutions (EMR) would be an asset.

Overview:
The Medical Receptionist acts as the focal point of communication between the patients and the medical team, with patient confidentiality being the key issue at all times. The Medical Receptionist is responsible for providing a consistently high level of administrative support to the Physicians and other clinic staff. In undertaking the role of Medical Receptionist, the successful candidate will be required to initiate their own tasks, have the ability to prioritize work and multi-task in a highly demanding environment.
Responsibilities:
- Manage a busy telephone system in a friendly and professional manner
- Assist with clerical/administrative support to patients, families, staff and Physicians
- Manage, schedule and maintain appointment calendars for multiple Physicians and Nurse Practitioner
- Independently respond to both verbal and written inquiries (EMR messages, faxes, etc.)
- Initiate and maintain confidential medical files and records
- Perform document preparation, scanning and indexing of medical documents into the EMR and audit results for image quality and indexing accuracy
- Retrieve and download various reports from outside sources and enter the reports into patient records then notify appropriate Doctor
- Carefully track and follow-up on pending patient referrals
- Ensure all forms are completed and properly identified prior to scanning
- Other duties and tasks as required
Qualifications:
- High school diploma and successful completion of medical administrative program at the college level
- Minimum 2 years medical administration experience
- Excellent understanding and regular use of medical terminology
- Experience with Telus Practice Solutions EMR an asset
- Ability to communicate and work effectively in a team setting
- Strong knowledge of general office procedures including phone system, fax machine and scanning equipment
- Positive attitude, pleasant and professional manner in person and over the phone
- Excellent de-escalation and customer service skills
- Exceptional organizational, time management and prioritization skills
- Ability to work well under pressure and handle difficult situations in a calm manner
- Must be able to handle work volume fluctuations; proactive, reliable and flexible
