The Scarborough Academic Family Health Team (SAFHT) is seeking a qualified and experienced individual to join our team in a new role as a permanent, part-time Information Technology (IT) Systems Specialist (0.5 FTE). The successful candidate will provide technical expertise and strategic leadership to support SAFHT’s technology infrastructure, cybersecurity, digital transformation initiatives, and day-to-day technology operations. The position supports clinical and administrative staff across multiple SAFHT locations and affiliated physician offices while working collaboratively with external technology vendors to ensure secure, reliable, and efficient IT services.
The IT Systems Specialist is responsible for the administration, maintenance, security, and continual improvement of SAFHT’s technology infrastructure. The successful candidate will provide technical support to staff, maintain Microsoft 365 and cloud-based services, oversee hardware and software lifecycle management, strengthen cybersecurity practices, and contribute to organizational technology planning.

The SAFHT is governed by a Mixed Board (i.e. Physicians and Community Members) and is an integrated group of health care providers that work collaboratively as part of a family health team. Our interprofessional care team currently includes 29 affiliated physicians, nurse practitioners, registered nurses, registered dietitians, a case manager, social workers, chiropodists, and several administrative staff. Originally formed in 2007, the SAFHT serves patients by providing them with timely access to a comprehensive range of services and programs aimed at managing and preventing disease and improving health status. Including our SAFHT affiliated physician group locations, we deliver care across 8 locations in the Scarborough and Eastern Toronto geography and engage in teaching learners in medicine and other health disciplines. Role Responsibilities:
IT Operations & User Support
- Provides support for clinical and administrative staff across all SAFHT locations and affiliated physician offices
- Troubleshoots hardware, software, network, printer, telephony, mobile device, and connectivity issues
- Maintains an inventory of organizational hardware, software, peripherals, and technology assets
- Procures, configures, deploys, maintains, and retires laptops, desktop computers, mobile devices, printers, and other technology equipment with approval from leadership team
- Provides support for organizational mobile devices, including smartphones and tablets
- Maintains technology documentation, standard operating procedures, and asset inventories
Microsoft 365 and Collaboration Systems
· Administers Microsoft 365 services including Exchange Online, Teams, SharePoint, OneDrive, and user account management
· Maintains user accounts, security groups, permissions, and access controls
· Supports organizational collaboration platforms and assists staff in the effective use of digital productivity tools
· Assists with the ongoing migration, organization, and optimization of cloud-based file storage
Website & Digital Communications
· Maintains and updates the SAFHT public website
· Supports the ongoing development and improvement of the organization’s online presence
· Assists departments with website content updates and digital communications as required
Cybersecurity & Risk Management
· Implements, monitors, and continually improves cybersecurity practices throughout the organization
· Develops and delivers staff cybersecurity awareness training and education
· Plans and administers simulated phishing and cyberattack exercises to strengthen organizational procedures
· Coordinates response to cybersecurity incidents, technology outages, and security breaches in collaboration with external vendors
· Conducts cybersecurity risk assessments and vulnerability reviews
· Participates in security audits and supports compliance with PHIPA and other applicable legislation
· Monitors security alerts, system health, and organizational technology risks while coordinating remediation activities with external service providers
· Recommends and implements technology safeguards to reduce organizational risk
Infrastructure & Vendor Management
- Works collaboratively with external IT consultants and service providers to maintain secure and reliable technology infrastructure.
- Assists in evaluating technology vendors, software solutions, licensing, and service agreements.
Business Continuity & Disaster Recovery
- Maintains and continually improves the organization's Business Continuity Plan and Disaster Recovery procedures.
- Assists in developing organizational contingency plans for technology outages and cyber incidents.
Technology Planning & Digital Transformation
- Identifies opportunities to improve organizational efficiency through technology.
- Assists with long-term technology planning, replacement schedules, and capital equipment planning.
- Supports the evaluation and implementation of new technologies that enhance organizational effectiveness.
Artificial Intelligence (AI) Governance
- Assists in the development, implementation, and maintenance of organizational policies relating to information technology, cybersecurity, and the responsible use of Artificial Intelligence (AI).
Employee Onboarding & Academic Support
- Coordinates all technology requirements for employee and student onboarding and offboarding.
- Creates and manages user accounts, permissions, equipment deployment, and technology orientation for new staff and learners.
- Supports temporary technology access for students and clinical learners participating in SAFHT placements.
- Ensures timely removal of accounts and retrieval of organizational technology assets upon completion of employment or placements.
Quality Improvement & Organizational Support
- Participates in quality improvement initiatives, organizational committees, accreditation activities, and strategic planning.
- Develops and maintains IT-related organizational policies, procedures, and documentation.
- Maintains accurate records and prepares reports relating to technology operations and organizational performance.
- Maintains professional competence through ongoing education and professional development.
- Performs other duties as operationally required.
Accountability
The Information Technology (IT) Systems Specialist reports to the Executive Director and/or Manager or designate.
Qualifications
- Diploma or degree in Information Technology, Computer Science, Information Systems, Cybersecurity, or a related field, or an equivalent combination of education and experience.
- Demonstrated experience administering Microsoft 365 environments, including Exchange Online, Teams, SharePoint, OneDrive, and user administration.
- Experience supporting cloud-based technology environments and Microsoft operating systems.
- Demonstrated knowledge of cybersecurity principles, information security best practices, risk management, and incident response.
- Experience supporting hardware, software, networking, mobile devices, and end-user computing.
- Experience working with electronic medical record systems; familiarity with TELUS Practice Solutions Suite (PSS) is considered an asset.
- Excellent troubleshooting, analytical, organizational, and problem-solving skills.
- Excellent interpersonal, communication, customer service, and documentation skills.
- Demonstrated ability to manage multiple priorities while working independently.
- Demonstrated commitment to confidentiality, privacy, and continuous quality improvement.
Assets
Preference may be given to candidates with one or more of the following:
- Experience working within a Family Health Team, Community Health Centre, hospital, or other healthcare environment.
- Two years of progressively responsible experience supporting organizational information technology systems.
- Experience supporting PHIPA compliance and healthcare privacy requirements.
- Experience developing Business Continuity Plans and Disaster Recovery strategies.
- Experience conducting cybersecurity awareness training and phishing simulations.
- Experience supporting website administration and content management systems.
- Experience developing organizational technology policies and governance documentation.
- Experience supporting Artificial Intelligence implementation and governance initiatives.
- Experience coordinating technology vendors and service providers.
- Professional certifications such as Microsoft 365 Certified Administrator, CompTIA Security+, Azure Administrator Associate, CISSP, or equivalent.
- Experience supporting quality improvement initiatives and organizational projects.
