The role
Reporting to the Director Construction Store Development, the Administrative Assistant provides administrative assistance to the superior and Engineering and Repair & Maintenance teams and in various construction, renovation, remodeling, repair and maintenance projects.
Major Responsibilities
- Provide administrative support to the team by working closely with project managers, R&M manager, project coordinators and technicians
- Communicate with vendors, consultants, general contractors and government bodies, solicit quotations, specifications and other relevant information as required; alert the relevant parties on urgent matters and timelines
- Prepare business correspondence such as letters, emails, specifications and other project requirements
- Reconcile invoices against purchase orders, liaise with Finance & Accounting in settling payments for various vendors on a timely manner
- Perform data and file maintenance and ensure data integrity, good audit trail and create reports as required
- Perform any other duties or tasks as assigned by the superior(s)
Knowledge, Skills and Ability Requirements
- High school or College completion with a minimum of 1 year administrative experience in a fast-paced working environment
- Proficient in using Windows applications including Word processing, Excel, Power Point and Outlook
- Ability to prioritize and deliver multiple assignments promptly and accurately
- Demonstrate excellent customer service and initiative in completing assignments
- Demonstrate sound ability to communicate (verbally and written) in English effectively with both internal and external stakeholders
- Ability to communicate in Chinese (Cantonese &/or Mandarin) is an asset
- Basic accounting knowledge is an asset.
Pay: $40,000.00-$46,000.00 per year
