Overview
We are seeking a Bilingual Project Coordinator (English/Spanish) to support client relationships, supplier coordination, product development, and project execution. This role will serve as a key connection point between clients, internal teams, suppliers, and international partners to ensure projects are completed successfully, on time, and according to customer requirements.
The successful candidate will support product launches, supplier communication, documentation, logistics coordination, compliance requirements, and administrative activities while maintaining strong relationships with Spanish-speaking clients, vendors, and business partners.
Key Responsibilities
- Collaborate with internal departments to facilitate client needs and ensure timely delivery of solutions according to customer objectives.
- Serve as the primary point of contact for Spanish-speaking clients, suppliers, and business partners.
- Communicate project updates, timelines, specifications, and deliverables in both English and Spanish.
- Facilitate meetings and conference calls with Spanish-speaking stakeholders as required.
- Translate and review project-related documents, correspondence, and communications when necessary.
- Coordinate with international suppliers, vendors, and partners to ensure product requirements, specifications, timelines, and deliverables are achieved.
- Support communication between account management, customers, suppliers, and design teams to ensure alignment on product requirements, customer expectations, and project timelines.
- Assist with product development activities, including reviewing product designs, packaging requirements, dielines, product specifications, labeling requirements, product descriptions, and design-related materials.
- Support design updates and coordinate feedback between customers, suppliers, and internal design teams.
- Assist with product launches, including sample coordination, distribution, production timelines, and project tracking.
- Conduct market research on products, competitors, customer needs, and industry trends to support product improvements and business decisions.
- Create and manage production timelines, track project milestones, and communicate project status and deadlines to internal teams and management.
- Organize and maintain project documentation, including quotations, pricing estimates, purchase orders, invoices, supplier contracts, product specifications, and project records.
- Assist with supplier compliance requirements, including certifications, audits, quality documentation, product labeling requirements, GS1 standards/barcodes, and company guidelines.
- Request, review, and maintain supplier documentation, including SOPs, quality records, certifications, and required compliance information.
- Support quality assurance activities by establishing checkpoints, tracking issues, and reporting product or supplier concerns to management.
- Coordinate supplier and customer complaint resolution by communicating issues, following up on corrective actions, and maintaining proper documentation.
- Maintain accurate records related to inventory, logistics (incoming and outgoing), supplier information, customer accounts, and project status.
- Support import/export activities by coordinating shipping documents, customs-related documentation, and communication with freight forwarders and logistics partners.
- Assist with supplier quotations, product specifications, purchase orders, invoicing, payment communication, and administrative processes.
- Maintain and update CRM systems, internal databases, supplier records, and project tracking tools.
- Prepare, proofread, and maintain professional correspondence, reports, forms, and other business documents.
- Provide support and training on company guidelines, processes, and product requirements to internal teams, suppliers, or partners when required.
- Assist with key account management activities and other projects assigned by management.
- Travel approximately 20% for market research, supplier/client meetings, and business-related activities.
Qualifications
- Fluency in English and Spanish (spoken and written) is required.
- Minimum 2 years of experience in project coordination, project management, or a similar role.
- Minimum 2 years of experience in the food industry and/or B2B business environment.
- Experience working with clients, suppliers, vendors, or international business partners.
- Experience supporting import/export, procurement, logistics, or international supply chain operations is an asset.
- Experience with food production, packaging, labeling, compliance, GS1 requirements, supplier coordination, or product development is an asset.
- Strong cross-cultural communication and relationship management skills.
- Ability to manage multiple projects simultaneously and meet deadlines.
- Strong organizational skills with attention to detail and accuracy.
- Experience using project management tools (e.g., Asana, Trello, Monday.com, or similar).
- Proficiency in Microsoft Office Suite and experience maintaining digital records and databases.
