The Organization
The Rural Municipalities of Alberta (RMA), established in 1909, represents the elected councils of Alberta’s 69 rural municipalities. The Position
The Administrative Coordinator will provide administrative, planning, and organizational support to Canoe Procurement Group of Canada, reporting to the Manager of Administration and General Manager of Canoe Procurement Group of Canada. They will assist in meeting the organization’s operations and marketing plans’ objectives. In all cases, this position is expected to work in a team environment for dealing with issues, events and programs.
This is an in-office position at our Nisku office. It is a full time permanent position.
Responsibilities and Activities
Administration
- Arrange and coordinate meetings, including staff meetings, committee meetings, conferences, events, which includes preparing agendas, taking minutes, coordinating logistics, and ensuring all necessary materials are available.
- Manage and facilitate correspondence.
- Attend meetings as required, take minutes and follow up on action items.
- Provide functional direction and guidance to other administrative support staff on any items related to the the leadership in accordance with established standards.
- Field inquiries from officials, partners, members, suppliers, and other agencies.
- Foster positive relationships by interacting with staff, board, and external stakeholders.
- Coordinate travel arrangements, including booking flights, accommodations, transportation and itineraries.
- Coordinate activities related to the teams schedule.
- Screen meeting requests, redirecting requests where appropriate and prioritizing meetings.
- Assist in the procurement administration, posting RFPs, awards and notices on Alberta Purchasing Connection and facilitate communication with Association partners.
- Draft and maintain standard operating procedures for related tasks and duties.
Marketing Coordination
- Support marketing activity.
- Coordinate tradeshow attendance.
- Coordinate printed and promotional marketing materials.
Events Planning
- Work witht the event coordinator or independently to facilitate Canoe related events depending on the scope and size of each event.
- Assist with coordinating Board and Committee meetings and materials.
- At the request of the Manager of Administration, participate in special projects i.e. assist with the organization of other meetings, conventions, conferenced or social events.
Data
- Coordinate storage and archive of files and records.
- Prepare reporting upon request.
- Update and maintain member list and contact information through various means including CRM.
The successful candidate will possess excellent customer service skills, be a strong team player, have attention to detail and maintain integrity in all dealings. They must be analytical, decisive, and able to work independently while maintaining the parameters of assigned authority; utilizing company technology to track and expedite all transactions.
Knowledge, Skills and Abilities
- Post-secondary diploma in a related discipline (Office administration, etc.)
- A minimum of two years of progressively responsible office experience.
- Experience in a government, municipal, insurance, procurement, or non-profit setting is an asset.
- Strong writing and verbal communications skills are essential.
- Proficiency in MS Word, Excel, PowerPoint, Outlook, SharePoint and familiarity with Adobe Acrobat are essential.
- Personable and able to build and maintain professional relationships.
- Excellent listening skills.
- Anticipate and seize opportunities to implement improved practices and procedures.
- Ability to work in a team environment including keeping others appropriately informed.
- Managing multiple priorities in a fast-paced, changing environment and quickly analyzing problems to reach a resolution.
- Expects the highest quality performance from self.
- Able to work with minimal supervision, self-motivated and self-directed.
- A valid drivers license with a clean drivers abstract
