LINC Admin Support
TNO - The Neighbourhood Organization (TNO) is a well-established community-based social and health service agency providing a wide range of programs and services supporting low-income and newcomer communities across Ontario and sometimes across different provinces through online services and referrals. We are seeking a LINC Admin Support to join our team in a full-time contract role until March 31, 2027.
The LINC Admin Support provides integral administrative and clerical support in the LINC program's reception area, playing a vital role in database management for enrollments, certificates, letters, and attendance. Serving as the first point of contact for clients, the role includes delivering excellent customer service, offering technical support, and managing program supplies. The ideal candidate possesses 1-2 years of frontline administrative experience, with expertise in LINC/ESL administration as a valuable asset. Key qualifications include experience in community programs serving diverse populations and proficiency in database management. Strong communication, organizational, and interpersonal skills, along with attention to detail and cultural sensitivity, are essential, complemented by proficiency in MS Office and related office equipment.
Multilingual ability to communicate in all of these languages: Farsi, Dari and Pushto.
DUTIES & RESPONSIBILITIES
- Inputs and maintains up-to-date physical and electronic data in TNO and other databases on an on-going basis for both Learners and CNC clients (eg. use of CLARS/HARTS, ICare, and TNO databases)
- Maintains required program records and submits required weekly and monthly reports and as requested by the management of the agency
- Ensures that all records are kept confidential and secure
- Enrolls new Learners and CNC clients in LINC Program
- Maintains and updates LINC clients waitlist on weekly basis, updates to management
- Calls LINC and CNC waitlisted clients and absent clients, updates to management on weekly basis
- Prepares letters and citizenship certificates
- Be familiar with all regulations and undergo training for Care for Newcomers Children (CNC)
- Distributes TTC Token and maintaining the balance sheet for the Finance Department
- Distribute Chrome Books/Laptops to Learners and communicate with IT Support
- Orders supplies for the program when necessary
- Provides courteous and professional reception to all TNO clients and visitors as the first point of contact
- Greets clients and answers general enquires
- Answers and transfers phone calls, through switchboard
- Collect mail and distribute among all relevant departments
- Support TNO outreach activities
- Jointly with service partners, conducts program promotion in community social landmarks Supports outreach activities with other TNO departments and services
Screening – As a condition of employment, the successful applicant must complete a Vulnerable Sector Screening.
Job Type: Full-time contract position until March 31, 2027.
Work Location(s): 45 Overlea Blvd. Toronto, ON M4H-1C3 and other TNO locations.
Layoff Period: Summer Break, March Break and March Break when classes are not in session.
Schedule: Monday to Friday, 8:30 a.m. to 4:00 p.m. Some evening and weekend work may be required.

Rate of Pay: $25.00 per hour
